About the Role

We are seeking a highly organized, dependable, and detail-oriented Plumbing Administrative Coordinator to support the day-to-day operations of our Plumbing Department.

This position serves as a key support role for our service team, helping coordinate customer communication, scheduling, permitting, inventory management, purchasing, fleet-related activities, and administrative processes that keep the department running smoothly.

The ideal candidate thrives in a fast-paced environment, enjoys managing multiple priorities, and takes pride in staying organized while supporting both customers and team members.

What You'll Do

In this role, you will assist with a variety of operational and administrative functions, including:

• Supporting customer communication and scheduling efforts
• Assisting with permit administration and compliance-related processes
• Coordinating follow-up communication with customers, vendors, and municipalities
• Ordering truck stock, service parts, shop inventory, and other materials as needed
• Managing purchase orders, returns, warranty claims, and vendor follow-up
• Supporting backflow program administration, reporting, and scheduling
• Assisting with fleet management, including maintenance scheduling and documentation
• Providing backup dispatch coverage when needed
• Maintaining accurate records and departmental documentation
• Supporting special projects and operational initiatives
• Assisting the Plumbing Department and other departments as needed to achieve company goals

What We're Looking For

• Strong organizational and multitasking skills
• Excellent communication and customer service abilities
• Ability to prioritize responsibilities and follow through on tasks
• Positive attitude and team-first mentality
• Strong attention to detail
• Comfortable working with computer systems, phones, and office software
• Experience in the plumbing, HVAC, construction, or home service industry preferred
• ServiceTitan experience preferred but not required

Work Environment

• Full-time, in-office position
• Monday-Friday, 9:00 AM – 6:00 PM
