PM/Executive Assistant
Location: Foster City, CA - Hybrid (3 days per week onsite)
Duration: 6 Months Contract
We are looking for a PM/Executive Assistant resource supporting the Vice President & Head of Global Medical Affairs Oncology (GMAO). This resource will be based in Foster City (in-office Tuesday Thursday), for at least 6-month period.
Below are the key responsibilities this resource would support GMAO:
- Support the execution of Global Medical Affairs Oncology projects, ensuring timely delivery while proactively identifying risks and implementing solutions
- Orchestrate cross-functional alignment, maintaining clear and effective communication with stakeholders on project priorities, progress, and decisions
- Collaborates with Global Medical Affairs Oncology team in the facilitation of executive leadership meetings, agendas, logistics and materials, and tracking of outstanding action items
- Drive onboarding and integration of new team members, accelerating productivity and alignment within Global Medical Affairs Oncology
- Coordinate complex, global travel and meeting logistics, supporting the Vice President & Head of Global Medical Affairs Oncology
- Provide end-to-end support for Vice President & Head of Global Medical Affairs Oncology expense reporting, ensuring timely submission, accuracy, and compliance with company policies
- Assist with components of the Global Medical Affairs Oncology budget, supporting forecasting, tracking, Master Service Agreements, Work Orders, and Purchase Orders, ensuring accuracy, timeliness, and transparency
- It's a combination of project management and administrative support.
- From a project management perspective, the role would help coordinate complex initiatives such as HCP engagements and interactions between GMA Oncology and client leadership at major congresses like ASCO and ESMO, ensuring alignment across multiple cross-functional teams.
- The role would also support the use of tools like Cadence for event and meeting management, while continuously identifying opportunities to streamline processes and improve execution.
Qualifications:- Ideal candidate will have some experience with Pharma and/or Medical Affairs.
- 1+ year of experience as a project manager and a BS or BA degree.
The salary range provided for this contract role represents our good faith estimate for this position. Within the range, individual offers will vary based on the selected candidate's experience, industry knowledge, technical and communication skills, location and other factors that may prove relevant during the interview process (W2 or C2C).
