DISTINGUISHING CHARACTERISTICS OF WORK

This is responsible and varied clerical work within the Police Department involving the performance of administrative, records management, customer service, and data entry functions. Employees in this classification perform a variety of clerical and office support duties requiring the exercise of judgment in the application of prescribed procedures, policies, and methods. Work may involve maintaining departmental records, processing reports and correspondence, assisting the public, operating office equipment and computer systems, and performing typing and data entry assignments. Depending upon the assignment, employees may work under close or general supervision and may assist in coordinating or overseeing the work of clerical support staff. Work assignments are received in the form of general instructions or established procedures and are reviewed through observation, conferences, and evaluation of completed work.

ESSENTIAL EXAMPLE OF DUTIES

The following illustrates examples of some of the essential duties and responsibilities of the Police Clerk. There may be other essential functions, not listed below, in order to accomplish the tasks as presented by the Supervisor.

  • Maintains and processes police department records, reports, correspondence, and related documents.
  • Types forms, reports, memoranda, invoices, vouchers, letters, and other materials from rough drafts or verbal instructions using a computer or other office equipment.
  • Performs data entry and assists with maintaining records management systems and departmental databases.
  • Answers telephones, takes messages, provides routine information, and directs individuals to the proper person or office.
  • Provides customer service assistance to City employees, outside agencies, and the general public.
  • Sorts, files, scans, copies, and distributes reports, records, correspondence, and other departmental materials.
  • Assists with maintaining complex clerical records and compiling information for reports and statistical data.
  • Operates office equipment including computers, copiers, scanners, fax machines, calculators, and other related equipment.
  • Assists with preparing purchasing documents, verifying receipt of materials and supplies, and processing related paperwork.
  • May assist with scheduling, maintaining meeting records, and preparing minutes or correspondence for supervisors.
  • May assist in training or guiding clerical support staff as assigned.
  • Exercises tact, courtesy, and sound judgment when dealing with sensitive or confidential information.
  • Performs other related duties as required.

KNOWLEDGE, ABILITIES AND SKILLS

  • Knowledge of office terminology, procedures, and standard clerical practices.
  • Knowledge of modern office equipment and computer software applications including Microsoft Office programs.
  • Knowledge of business English, spelling, and basic arithmetic.
  • Ability to understand and follow oral and written instructions.
  • Ability to maintain clerical records and prepare routine reports from such records.
  • Ability to communicate effectively with employees, outside agencies, and the public.
  • Ability to operate computers, word processing systems, spreadsheets, and records management software.
  • Ability to exercise sound judgment and maintain confidentiality regarding sensitive information.
  • Ability to perform accurate typing and data entry assignments.
  • Ability to establish and maintain effective working relationships with others.
  • Clerical aptitude, tact, courtesy, and mental alertness.

PHYSICAL REQUIREMENTS

The following are some of the physical requirements associated with this position. Reasonable accommodation may be made by the City to enable an individual to perform the essential duties/functions of the position.

  • Must have the ability to effectively communicate and interact with other employees and the public through the use of telephone and personal contact as normally defined by the ability to see, read, talk, hear, and handle or operate objects.
  • Physical capability to effectively use and operate various items of office equipment including, but not limited to, a personal computer, calculator, copier, scanner, and fax machine.
  • Work is performed indoors within a quiet to moderately noisy environment.
  • Must be able to lift, carry, and/or push articles weighing up to 20 pounds.

MINIMUM TRAINING AND EXPERIENCE

  • Graduation from an accredited high school or possession of a GED equivalent.
  • Must possess working knowledge of computers and Microsoft Office applications including Word and Excel.
  • Must demonstrate the ability to type a minimum of 35 words per minute.
  • Minimum of one (1) year of clerical or administrative experience is required; experience within a law enforcement agency or records environment is preferred.
  • Bilingual English and Spanish speaking ability is desirable.
  • Any equivalent combination of education and experience may be considered.
