The City of Wentzville is seeking a highly organized and service-oriented Police Records Representative to support our dedicated law enforcement team. This vital position provides essential administrative and clerical support to the Public Safety Department, ensuring smooth operations and excellent customer service for both internal staff and the public.

As a Part-time Police Records Representative, you will assist residents, officers, and other agencies by managing public records, processing legal documents, responding to information requests, and serving as the welcoming face of the department-whether in person, via phone, or through email.

Key Responsibilities:

  • Deliver respectful, professional, and positive service to all community members, staff, and external agencies.
  • Serve as a primary point of contact at the department's front desk-greeting and assisting visitors, answering calls, and directing inquiries appropriately.
  • Prepare and disseminate police reports to the public in accordance with applicable laws and policies.
  • Assist officers by coordinating with outside agencies, running records checks, gathering statistics, preparing subpoenas, and mailing documents.
  • Accurately process and manage various documents, including bonds, background checks, fingerprints, subpoenas, and incoming/outgoing mail.
  • Perform routine data entry and filing to ensure accurate recordkeeping and document accessibility.
  • Provide residents with guidance regarding available public resources and how to obtain information or services from the City.

Job Qualifications - Education, experience, and training that are required or desirable in order to effectively perform the job at the time of hire. An equivalent combination of education, training, and experience will be considered. Additional requirements and/or substitutions may be requested and require the approval of HR.

  • Proficient computer and data entry skills are required.
  • Customer service experience is required.
  • High school diploma or equivalent required.
  • Must pass a comprehensive background investigation.

  • Knowledge of the Sunshine Law.
  • Knowledge of Uniform Crime Reporting.
  • Knowledge of city government and the functions of various city departments.
  • Ability to perform routine tasks.
  • Ability to work independently under direct supervision and make responsible decisions.
  • Ability to solve problems within defined parameters and under clearly established processes.
  • Ability to provide exceptional service to internal and external customers. Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Ability to communicate effectively and professionally with supervisors, co-workers, and customers by telephone, in writing, and in person.
  • Ability to use good judgment and think rationally in difficult or stressful situations.
  • Ability to develop goals and plans to prioritize, organize, and accomplish work, as well as concentrate on multiple tasks simultaneously.
  • Proficiency in the use of basic business software (word processing, spreadsheets, email, presentations) and basic office equipment.
  • Ability to work collaboratively in a team environment.
