Position Summary:
We are seeking an experienced, strategic, and hands-on Practice Administrator to oversee the operational, financial, and administrative performance of a growing multi-provider primary care organization.
This leader will be responsible for driving operational excellence across all clinic locations, improving patient experience, supporting providers, optimizing workflows, and ensuring strong financial and clinical performance.
This role reports directly to ownership/executive leadership and serves as a key partner in scaling the organization while maintaining high-quality patient care and operational efficiency.
Key Responsibilities
Operational Leadership
* Lead day-to-day operations across multiple primary care clinic locations
* Develop and implement scalable operational processes, workflows, and performance standards
* Ensure efficient clinic flow, patient throughput, scheduling optimization, and provider productivity
* Monitor and improve patient satisfaction, wait times, access, and service quality
* Partner with providers and clinical leadership to improve operational alignment
Financial & Revenue Cycle Oversight
* Oversee practice financial performance, budgeting, and operational KPIs
* Monitor revenue cycle performance including:
* collections
* denials
* aging
* charge capture
* payer trends
* Collaborate with billing and finance teams to improve reimbursement and operational efficiency
* Identify opportunities for cost control and operational improvement
Team Leadership & Culture
* Lead, mentor, and develop clinic managers and administrative staff
* Build accountability, professionalism, and a high-performance culture
* Assist with recruiting, onboarding, staffing strategy, and employee retention
* Manage performance evaluations, coaching, and disciplinary actions as needed
Strategic Growth & Process Improvement
* Drive continuous improvement initiatives using data and operational metrics
* Develop and track KPIs related to access, staffing, patient satisfaction, productivity, and financial performance
* Implement operational best practices across all locations
Compliance & Administration
* Ensure compliance with HIPAA, OSHA, Medicare, and other healthcare regulations
* Oversee clinic policies, procedures, vendor relationships, and operational contracts
* Support quality initiatives, audits, credentialing coordination, and accreditation readiness
* Maintain operational readiness and risk management standards

Qualifications
* Bachelors degree required; Masters degree in Healthcare Administration, Business Administration, or related field preferred
* 5+ years of healthcare operations leadership experience in a multi-provider ambulatory or primary care setting
* Strong understanding of:
* medical practice operations
* revenue cycle management
* physician practice management
* staffing and workflow optimization
* payer and insurance processes
* Experience managing multi-site clinic operations preferred
* Proven leadership, communication, and organizational skills
* Ability to analyze operational and financial data and implement solutions
* Experience with EHR/EMR systems and healthcare operational reporting
