Position Overview
Sigma, Inc. is seeking an experienced Practice Assistant – Administrative to support an outpatient primary care practice in Chelsea, MA.
The ideal candidate will have experience in medical front desk operations, patient registration, scheduling, insurance verification, referrals, prior authorizations, and patient customer service. This position serves as a key point of contact for patients and visitors and requires strong communication, organization, and attention to detail.
Key Responsibilities
- Serve as the primary front desk point of contact for patients and visitors.
- Provide professional and courteous customer service by phone and in person.
- Collect accurate patient and caller information and communicate relevant information to providers and practice staff.
- Prepare and maintain patient schedules, medical records, and other documentation according to quality standards.
- Maintain strict patient confidentiality and HIPAA compliance.
- Perform patient check-in, registration, and demographic and financial information verification using healthcare computer systems.
- Verify insurance authorizations, referrals, and pre-certifications.
- Collect required patient co-payments according to established procedures.
- Direct patients to appropriate service areas and assist with overall patient flow.
- Monitor patient and visitor activity within the practice.
- Proactively address patient-flow issues, including early or late arrivals and provider delays.
- Act as a liaison between patients and practice staff to support efficient service delivery.
- Complete patient check-out and schedule follow-up appointments.
- Schedule diagnostic tests, laboratory appointments, and other services as needed.
- Provide patients with relevant educational materials and information.
Required Qualifications
- Previous experience in a medical office, outpatient practice, healthcare front desk, or patient access environment.
- Strong customer service and communication skills.
- Experience with patient registration and check-in/check-out.
- Experience verifying demographic, insurance, and financial information.
- Knowledge of insurance referrals, prior authorizations, and pre-certifications.
- Experience collecting patient co-payments.
- Strong organizational skills and attention to detail.
- Ability to handle confidential patient information appropriately.
- Comfortable working with healthcare computer systems and electronic medical records.
- Ability to work onsite Monday–Friday during scheduled hours.
Important Eligibility Requirement
Candidates must have been separated from Beth Israel Lahey Health (BILH) for at least 6 months to be considered for this contract position, including candidates who previously worked with BILH as a permanent, per diem, or contract employee.
