Healthcare Practice Assistant – Front Desk Administration

Sigma, Inc. is seeking an experienced Practice Assistant – Administrative to support a busy Primary Care/Urgent Care practice in Methuen, MA.

This role is ideal for a healthcare administrative professional with experience in front desk operations, patient reception, appointment scheduling, and administrative support within a primary care or urgent care setting. The successful candidate will serve as the first point of contact for patients while ensuring efficient daily practice operations and delivering exceptional customer service.

Key Responsibilities

Front Desk & Patient Reception

  • Welcome and assist patients, visitors, and staff in a professional and courteous manner.
  • Manage daily front desk and reception activities.
  • Provide outstanding customer service and ensure a positive patient experience.
  • Support patient check-in and other front office functions.

Telephone & Scheduling Support

  • Answer incoming telephone calls promptly and professionally.
  • Schedule, confirm, and coordinate patient appointments.
  • Route calls and messages to the appropriate clinical or administrative staff.
  • Assist patients with appointment-related questions and requests.

Administrative Support

  • Maintain accurate patient records and demographic information.
  • Support daily office operations through clerical and administrative tasks.
  • Ensure timely and accurate documentation of patient information.
  • Perform additional administrative duties as assigned.

Office Operations

  • Assist with maintaining efficient workflow in a fast-paced primary care/urgent care environment.
  • Adhere to office policies and healthcare confidentiality standards.
  • Participate in orientation and onboarding activities as scheduled.

Required Qualifications

  • Minimum 2 years of experience as a Front Desk Receptionist or Administrative Assistant in a medical setting.
  • Recent experience in a Primary Care or Urgent Care environment is required.
  • Experience answering phones and scheduling patient appointments.
  • Strong customer service, communication, and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Ability to work effectively in a fast-paced healthcare environment.

Preferred Qualifications

  • Previous experience supporting busy outpatient medical practices.
  • Familiarity with patient registration and medical office workflows.
  • Ability to work collaboratively with clinical and administrative staff.
