Job Overview:
Under the direction of the Assistant Director of Administrative Services, performs all patient related clerical duties necessary to assist the health care team to provide patient care. Acts as a liaison between patients and clinical team. This includes but is not limited to maintaining physician schedule, typing, scanning, telephone triage, and other clerical functions relating to patient care. Ability to cross cover Telephone assistant, pre-auth, billing clerk, and check out
Qualifications:
Required:
- High School Graduate
- Proficiency with Microsoft office (Office, Excel, Power Point, & Word)
- Successful completion of all Orientation and Training Programs
Preferred:
- College Degree preferred
- Scheduling experience
- Healthcare experience
- Mosaiq experience
Scheduling Requirements:
- Shift- 9:00am- 5:00pm
- Monday- Friday
- Full Time
Essential Functions:
- Completes paperwork that needs to be sent out overnight letter and maintains a log including a confirmation receipt
- Covers other PAs as needed meeting the expectations and guidelines for the QCL/ phone/white sheet/ scheduling
- Daily review/reconcile/file of all white sheets for primary physician practice
- Call no shows, cancels etc to reschedule
- Gathers all important medical information for new consultations (Includes: pathology & radiology reports, lab results and referring MD notes)
- Maintains physician schedule: Ensures all patients are scheduled as per physician s template
- Schedules patient visits when necessary
- Reschedule appts as needed
- Obtain/fax/mail patients medical reports as requested
- Obtain proper release form from patient prior to releasing confidential information
- Provides cross-cover coverage for check-out; efficiently, timely, and completely
- Puts the phones on service at 5pm each evening reinforcing the MD on call to the service when there is a change
- Responds/forwards stat studies to the appropriate staff member, includes all medical and appt information needed to allow efficient scheduling of the study
- Return all calls by the end of each
- Rounds with Clinical staff on a daily in order to pre-plan and prepare for next day practice
- Scans all incoming documents into the Electronic Medical Record,
- Schedule Radiology Studies appropriately
- Answer patients concern, manages Rx, fax, appt and, when indicated pre-certification
- Input appointment into computer accurately sharing the information with the patient in a timely manner
- Serves as a liaison between patient, family, and medical health care team
- Responsibilities include facilitating problem solving for patients, clinical staff, and administrative staff
- Takes the phones off service by 9am sharp each morning directing the messages to the appropriate staff member
