They are seeking a polished, highly organized, and proactive Practice Assistant to support two senior executives and their broader leadership team in a fast-paced, innovative environment.

Salary/Hourly Rate:
$40/hr - $45/hr

Position Overview:
The Practice Assistant will provide dedicated administrative support to two senior executives and their respective teams. This individual will manage a broad range of executive-level responsibilities while maintaining the highest level of professionalism and confidentiality. The ideal candidate is exceptionally organized, resourceful, and able to anticipate the needs of busy executives in a dynamic, high-growth environment. Success in this role requires outstanding communication skills, sound judgment, and the ability to manage multiple priorities with accuracy and efficiency.

Responsibilities of the Practice Assistant:
  • Coordinate complex domestic and international travel arrangements, including detailed itineraries, accommodations, and transportation.
  • Schedule and coordinate meetings, including conference room reservations, catering, and virtual meeting logistics.
  • Process and track vendor invoices and expense reports, ensuring timely reconciliation and accurate recordkeeping.
  • Manage executive calendars, prioritize competing requests, and coordinate meetings across multiple time zones.
  • Prepare presentations, reports, and other professional documents using Microsoft Office Suite.
  • Handle confidential information with discretion while serving as a trusted partner to senior leadership.
  • Provide general administrative support and assist with special projects as needed.
Required Experience/Skills for the Practice Assistant:
  • Minimum of 5 years of experience supporting C-level executives or senior leadership in finance, technology, professional services, or a fast-paced corporate environment.
  • Advanced proficiency in Microsoft Office Suite, particularly Outlook, Excel, PowerPoint, and Word.
  • Exceptional organizational, time management, and communication skills.
  • Demonstrated ability to manage sensitive and confidential information with professionalism.
  • Highly adaptable, detail-oriented, dependable, and proactive, with the ability to anticipate executive needs and solve problems independently.
Education Requirements:
  • Bachelor's degree required.
