Job Summary:
The Practice Associate III is responsible for the patient welcome experience functions, general administrative work, and scheduling and coordinating of surgical and in-office procedures and other specialty services. This position is also a lead role that supports peers with expertise, organizational knowledge and guidance in support of the day-to-day operations of practice and research patient care in the Department of OBGYN. Job Responsibilities:
Care Coordination:
- Send out welcome packets to all new and returning patients.
- Request and receive relevant patient medical records and enter into EMR as needed.
- Conduct video calls with new patients after the initial visit to review treatment checklist and relevant requirements.
- Review treatment plans and schedule anticipated visits for male and female patients, to include consults, a variety of procedures, and office visits.
- Provide requisitions for outside laboratories and providers.
- Send clinical orders to medical staff with patient updates and visit requirements.
- Communicate with patients in cycle to ensure that baseline testing is completed and schedule follow-up to review results.
- Educate patients on relevant upcoming cycle consents and ensure that appropriate ones are completed correctly via Docusign and uploaded into EMR prior to start of treatment. Send appropriate consents to patients for upcoming treatment cycles.
- Partner with nursing team to ensure that donated specimen has been received and cleared for patient use.
- Review laboratory paperwork for compliance prior to biopsy shipments.
- Monitor shared patient inbox, entering day one reports into EMR and providing appropriate instructions based on treatment protocols.
- Track patients doing outside monitoring to ensure that their results are received on a recurrent basis, entered into EMR, and communicated to the clinical team.
- Participate in regular care team meetings to discuss patient progress and outcomes.
- Work with financial coordination team to ensure that patients have been financially cleared before proceeding with treatment.
- Obtain and provide medication benefit information to the medication authorization team prior to medication orders being placed.
- Act as a liaison between patients and the care team to relay/obtain information to ensure that patients are on track and understand next steps.
- Enter and adjust provider scheduling templates and track provider times to ensure that schedules are blocked correctly and trackers updated accordingly.
Scheduling, Administrative Support, and Front Desk Coverage:
- Schedule appointments, ultrasounds, procedures, and other specialty services.
- Act as the primary contact for patients and respond to inquiries. Assist with coordination of care to other specialties and appointments.
- Provide patients with appropriate instructions related to their appointments and procedures.
- Conduct all pre-determination, authorization, and pre-certification. Manage closely to ensure no scheduling delays.
- Serve as the first point of escalation for complex cases or scheduling issues.
- Based on operational need, perform full scope of front desk duties such as check-in, pre-registration, appointment scheduling, insurance eligibility/verification, authorizations, etc., and related follow-up.
- Provide general administrative support such as in-basket and work queue management as assigned.
- Assist with onboarding new staff by serving as a mentor and sharing knowledge and experience.
- May serve as team point person as directed by Supervisor.
- Perform other related duties as assigned.
Job Qualifications:
- High school diploma or equivalency is required.
- A minimum of 5 years’ relevant experience or educational equivalent.
- Excellent relationship management skills including, but not limited to, emotional intelligence, interpersonal skills, empathy, and ability to handle situations with respect, tact, and sensitivity.
- Excellent verbal and written communication skills, including the ability to clearly convey health information to patients and clinicians in conversation and in writing.
- Strong customer service orientation, active listening skills, and the ability to deliver consistent exceptional service.
- Ability to work with a variety of individuals and groups in a constructive and respectful manner while appreciating the unique contributions of an inclusive workforce that brings together the talents of people across multiple identities.
- Strong commitment to fostering diversity and equity.
- Advanced organizational and problem-solving skills, including the ability to work independently, take initiative and ownership, follow through, handle multiple tasks simultaneously, and set priorities among multiple competing objectives, tasks, and initiatives. Ability to discern when issues require escalation to member of clinical team.
- Strong proficiency with Microsoft Office (Word and Excel) or similar software is required, and an ability and willingness to learn new systems and programs.
- Must be a motivated individual with a positive mindset and exceptional work ethic.
- Must successfully complete systems training requirements.
- Prior experience in healthcare setting or interest in women’s health preferred.
- Prior experience in Epic/EHR preferred.
- Prior experience in an OBGYN office setting preferred.
- This position may work weekends/holidays.
Hourly Rate Ranges: $27.40 - $35.16
Note: Our salary offers will fall within these ranges based on a variety of factors, including but not limited to experience, skill set, training and education.
