Pre-Litigation Manager - Houston, TX
A growing legal organization is seeking an experienced Pre-Litigation Operations Leader to oversee daily business functions, drive performance, and improve efficiency across a high-volume personal injury practice. This role is responsible for aligning people, processes, and systems to support strong case outcomes and a consistent client experience.
Responsibility

  • Operations & Leadership

  • Direct daily operations across intake, case management, and administrative support functions

  • Develop, implement, and refine workflows to enhance efficiency and case progression

  • Promote accountability and performance standards across all levels of staff

  • Partner with executive leadership on operational strategy and continuous improvement initiatives

  • Ensure a consistent, high-quality client experience

Team Management


  • Oversee hiring, onboarding, training, and performance management processes

  • Coach and develop team members and leaders to achieve performance goals

  • Establish and enforce KPIs and operational benchmarks

  • Address performance concerns and foster a professional, results-driven work environment

    Case Management, Process Oversight


    • Monitor the lifecycle of pre-litigation cases from intake through resolution

    • Identify inefficiencies or delays and implement solutions to improve workflow

    • Collaborate with attorneys and case staff to enhance documentation and case handling practices

    • Support processes that contribute to favorable outcomes and client satisfaction

    • Case management cycle: demands, establishing liability, coordinating with insurances, gathering evidence, settlement, medical records, medical treatment coordination, assisting with negotiations

      Financial & Administrative Management


      • Assist in managing operational budgets and optimizing staffing resources

      • Partner with accounting to ensure effective billing and expense management processes

      • Identify opportunities to improve profitability through operational efficiencies

        Systems & Technology


        • Oversee utilization and compliance of case management platforms

        • Recommend and support implementation of tools to improve operational performance

        • Ensure adherence to standardized processes within internal systems

        • Creating and reading reports using File Vine

        Qualifications Required

        • 3–5+ years of leadership or senior level experience within pre-litigation personal injury case management

        • Strong understanding and experience in pre-litigation case management 

        • Demonstrated experience managing teams in a professional services setting

        • Strong leadership, coaching, and performance management skills

        • Excellent communication, organization, and problem-solving abilities

        • Ability to thrive in a fast-paced, high-volume environment

        • Experience driving process improvements and operational efficiency

          Preferred


          • Experience overseeing intake, case management, or paralegal teams

          • Familiarity with case management systems such as Filevine, Clio, or Litify

          • Background or experience in personal or team KPI tracking and performance analytics

          • Experience leading multiple departments or functions

          • Bilingual (English/Spanish) preferred
