Location: This is a full-time, in-office position in San Diego, CA, Monday through Friday.
Note: Prior personal injury experience is required. Candidates must have hands-on experience with pre-litigation workflows, including client communication, medical records, insurance carriers, and demand preparation.

Job Description
- Manage a high volume of personal injury cases through the pre-litigation phase.
- Work directly with the Managing Partner and legal team to keep cases organized, updated, and moving forward.
- Serve as a key point of contact for clients, providing updates, explaining next steps, and responding with professionalism and empathy.
- Request, track, review, and organize medical records and billing documentation.
- Communicate with medical providers, lienholders, insurance adjusters, and carriers regarding case status and documentation.
- Assist with drafting demand packages, routine correspondence, authorizations, and pre-litigation materials.
- Track deadlines, outstanding records, follow-up items, lien information, and carrier responses.
- Prepare files for potential litigation referral by ensuring documentation, records, and case summaries are complete.
- Maintain accurate and organized electronic case files in the firm's case management system.
- Support a fast-paced personal injury practice while maintaining confidentiality, accuracy, and strong attention to detail.
Qualifications
- Prior personal injury experience required.
- Pre-litigation case management experience strongly preferred.
- Experience requesting and organizing medical records and bills.
- Experience communicating with insurance carriers and adjusters.
- Experience assisting with demand preparation strongly preferred.
- Familiarity with SmartAdvocate or similar case management software preferred.
- Strong organizational, communication, and time-management skills.
- Ability to manage a high-volume caseload with accuracy and follow-through.
- Professional, empathetic communication style when working with injured clients.
- Ability to work independently while collaborating closely with attorneys and staff.
