About the Role

This position serves as the critical bridge between project award and material procurement for a construction contractor in Portland, Oregon. As the Preconstruction Coordinator, you will manage the end-to-end submittal and material buyout process, ensuring product data, physical samples, shop drawings, and specialized submittals move smoothly through architect and general contractor approval channels. Working alongside project accounting and management teams, this role balances administrative precision with active schedule tracking to prevent project backlogs.

The organization is looking for an organized, detail-driven professional with a steady focus on follow-through. You will serve as a central coordinator across Project Managers, external vendors, and general contractors, transforming approved specifications into accurate material lists and purchase orders to keep field operations on schedule.

Key Responsibilities

• Submittal Management: Build project submittal registers, gather product data, coordinate physical samples, and drive shop drawing approvals through general contractors and design teams.

• Flow Control & Scheduling: Collaborate with project accounting to throttle incoming preconstruction volume, preventing review bottlenecks and escalating delayed approvals before they affect site schedules.

• Material Buyout: Convert approved submittal packages into detailed material lists and create buyout purchase orders for final Project Manager release.
• 
  
• Software & Drawing Updates: Update takeoff drawings (such as MeasureSquare) and schedule networks (such as Exepron) to reflect submittal outcomes and reviewer comments.

• Status Reporting: Track active submittals, create secondary buyout lists when specifications change, and report submittal and buyout progress in regular operations meetings.

Requirements

• 
  
• 2 or more years of experience in construction administration, project coordination, purchasing, or estimating support.
• 
  
• Hands-on experience preparing or tracking submittals, shop drawings, or material buyouts.
• 
  
• Ability to read construction drawings and project specifications to identify required product data.
• 
  
• Proven follow-through on open administrative items that rely on external third-party approvals.
• 
  
• Solid written communication skills for interacting with Project Managers, vendors, and general contractors.
• 
  
• Proficiency in Microsoft Excel and the ability to learn new project software quickly.
• 
  
• Local candidate able to work on-site in the Portland, Oregon area.
• 
  

Preferred Qualifications

• 
  
• Experience within commercial trade contracting or sub-contracting environments.
• 
  
• Exposure to construction and estimating software platforms (such as MeasureSquare, Exepron, Acumatica, or Procore).
• 
  
• Experience handling LEED submittal packages or public works/prevailing wage project documentation.
