School Operations Manager
Part-Time | Approximately 30 Hours per Week | Monday–Friday
Schedule: 10–11-month position aligned with the North Plainfield School District calendar. Schedule is flexible and may vary based on school needs and candidate availability.

Position Summary
Growing Tree Preschool is seeking an organized, dependable, and proactive
Preschool Operations Manager to help maintain a smooth, efficient, and well-organized school operation.
Working closely with the Director, the Operations Manager will support the administrative systems and daily operations of the preschool, allowing the Director to focus on educational leadership, teacher development, program quality, and business operations.
This is primarily an
administrative and operations position—not a teaching or instructional leadership role. Experience working in a preschool or educational setting is a plus.
Spanish-speaking ability is required. The ability to communicate professionally with both English- and Spanish-speaking families and staff is an essential part of this position.
Responsibilities
Office & Daily Operations
- Manage and support daily office operations.
- Maintain organized paper and digital filing systems.
- Organize archives, records, and administrative documents.
- Prepare forms, reports, correspondence, and other documents.
- Maintain confidentiality of student and employee information.
- Prepare materials for staff meetings, trainings, and school events.
- Identify opportunities to improve office systems, organization, and workflows.
- Help ensure daily administrative tasks are completed accurately and on time.
Licensing & Compliance
- Maintain licensing binders, personnel files, and student records.
- Track staff certifications, required training, and expiration dates.
- Assist with preparing documentation for licensing visits and annual renewals.
- Support compliance-related paperwork and recordkeeping.
- Help ensure required documentation remains current and organized.
Human Resources & Staffing
- Assist with onboarding new employees.
- Prepare new-hire and orientation materials.
- Schedule interviews and communicate with applicants.
- Coordinate substitute scheduling and availability.
- Maintain employee documentation and training records.
- Assist the Director with administrative HR tasks as needed.
Enrollment & Family Services
- Support enrollment and registration processes.
- Maintain accurate student records.
- Communicate with prospective and current families.
- Respond to routine family questions and direct concerns to the appropriate staff member.
- Provide professional communication and support to families in both English and Spanish.
Marketing & Community Outreach
- Assist with Summer Camp and enrollment marketing.
- Update the school website, social media, and communication platforms.
- Assist with newsletters, school communications, and promotional materials.
- Support family events and community outreach activities.
Qualifications
- Fluent Spanish and English communication skills are required.
- Experience in office administration, operations management, school administration, or a related field preferred.
- Preschool, childcare, or educational experience is a plus.
- Excellent organizational, communication, and time-management skills.
- Strong technology skills and ability to learn new software and systems quickly.
- Ability to work independently while managing multiple priorities.
- Professional, detail-oriented, confidential, and dependable.
- Strong problem-solving skills and willingness to take initiative.
- Positive attitude and commitment to teamwork.
