Job Overview:
The Principal Administrative Business Partner provides high-level strategic administrative, operational, and project management support to senior executive leadership (Senior Directors, VPs, and above). This role independently manages complex, multi-time-zone executive scheduling, large-scale event and offsite planning, departmental communications, space planning, and vendor/contract management while maintaining a high degree of confidentiality and emotional intelligence. Operating as a thought partner and technical resource, the Principal ABP optimizes workflow, drives employee engagement, and trains team members on company systems and collaboration tools.
Job Specifications:- Manage complex executive calendars and scheduling across multiple global time zones and top-level internal and external stakeholders with discretion and confidentiality.
- Lead the end-to-end planning, organization, and execution of large-scale meetings, global summits, congress events, and department-wide offsites/onsites (venue selection, AV, catering, agenda design, and contract management).
- Partner with leadership to draft email communications, develop internal communication strategies, and manage departmental websites, gSites, and newsletters.
- Oversee overall space planning strategies and serve as project manager for team placement and office logistics.
- Direct complex candidate interview processes and manage executive onboarding logistics, including 30-day checklists and relocation support.
- Process vendor and speaker engagements, manage Request for Proposals (RFPs), oversee contracts, and handle payment processing.
- Utilize advanced knowledge of cSuite tools and Microsoft Office applications to train, inform, and onboard other administrative staff on systems and process efficiencies.
- Gauge departmental pulse, assess employee engagement, and partner with leadership to foster a collaborative culture and continuous improvement mindset.
Qualifications and Experience:- 5–7 years of related administrative, operations, or project management experience supporting Senior-Level Executives (Senior Director level and above; VP level preferred).
- Strong preference for previous work experience within Roche/Genentech or the broader pharmaceutical/biotech industry.
- Deep technical expertise in cSuite Tools (gMail, gCal, gSheets, gSlides, Trello, gMeet, Zoom) and Microsoft Office (Word, Excel, PowerPoint).
- Demonstrated experience handling highly sensitive, proprietary, and confidential information with high emotional intelligence and proactive problem-solving.
- Proven track record in vendor contract management, RFP processes, and event logistics for global summits and offsites.
- Requirement: Ability to work fully onsite in South San Francisco, CA.
Education Requirements:- Bachelor’s Degree (BS/BA) in a related field or equivalent industry experience required.
