Position Information
Position Title Principal Clerk FLSA Non-Exempt Primary Responsibilities
Summary
Reporting to the Director of Admissions Information Systems, the Principal Clerk, Admissions Operations will support the work of many aspects of the admission process at St. Lawrence University, including recruitment, application processing, and reading efforts. This position will have varied primary duties along with responsibilities shared with other members of the operations team. The position may require overtime work at various points during the year.
The successful candidate will possess strong communication, organization, and time management skills. They will exhibit professionalism, good judgment, knowledge of when to ask clarifying questions, and a desire for continuous improvement in their assigned duties.
Regular hours will be Monday - Friday from 8:00 a.m. to 4:30 p.m. This position will also work closely with the Executive Director of International Admissions.
Duties
- International & Domestic Application Processing
- Learn and accurately implement all aspects for processing international first-year and transfer applications and materials for admission (~70% of applications assigned to this position) and domestic first-year applications for assigned territories (~30% of applications assigned to this position)
- Process large amounts of materials and applications during peak times
- Prepare complete international files for review by completing GPA recalculation for the Executive Director of International Admissions for daily reading
- Coordinate with admission counseling staff to assess materials received
- Communicate with key stakeholders (applicants, parents, school counselors, or others) as
needed
- Serve as a back-up for retrieving and uploading test scores from College Board and Encoura (SAT, AP, and ACT scores) as needed
- Serve as a back-up for retrieving digital transcripts from Parchment as needed
- Data Processing & Integrity
- Maintain records for international high school visits and college fairs in Slate, including data
entry of inquiry cards and creation of events
- Assist with data entry of inquiry cards for assigned domestic territories as needed
- Monitor and resolve issues with bad addresses in Slate
- Monitor and resolve duplicate records in Slate
- Prepare, organize, and review downloads of data for mailings/distribution to students,
parents, school counselors, campus partners, and other stakeholders, ensuring accurate and clean data
- Assist the Director of Admissions Information Systems with the documentation of outgoing
mailings in Slate
- Assist the Director of Admissions Information Systems with data projects as needed
- Support of Admissions Counseling Staff
- Prepare and mail travel materials to counseling staff within assigned territories, inclusive of mailing to international addresses
- Prepare and mail material requests to school counselors in assigned territories, inclusive of
mailing to international addresses
- Support the coordinator(s) of the Book Award Program through the printing/distribution of
mailings/materials as needed
- General Operations
- Answer the main admissions line and forward calls appropriately (shared responsibility with operations staff and executive secretary)
- Monitor the main admissions email account, forward messages appropriately, and respond to messages as needed (shared responsibility with the operations staff)
- Serve as a back-up for the lobby/front desk area to ensure positive visit experiences for
prospective students, families, alumni, and other stakeholders
- Assist with the hiring of Admissions Clerical Assistants (ACAs) as needed
- Serve as a back-up for processing incoming physical mail, including enrollment paperwork
and checks
- Other duties as assigned
Schedule: Monday - Friday 8-4:30pm
Minimum Qualifications
- High school diploma (or equivalent) required; Associate's Degree in related field or a minimum of three (3) years experience in a high volume office environment required
- Excellent time management and organizational skills, and the ability to manage multiple responsibilities and prioritize tasks
- Strong communication skills
- Ability to work independently and as a member of a team
- Ability to handle stressful situations and to work in an active, sometimes noisy office environment
- Ability to adapt to changing priorities and to switch tasks on short notice
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams)
Preferred Qualifications
- Experience working with Slate by Technolutions
- Experience working in higher education
- Ability to learn and adopt new technologies quickly and thoroughly
- Data entry experience
- A positive, goal-oriented mindset
Salary CSEA level 15 $18.07 - $24.98/hr. The actual compensation will be determined based on experience and other factors permitted by law. Status (FT, PT, Seasonal, Temp) Full-time (12 months)
