JOB SUMMARY

The Office Support Assistant provides support to River Valley Home Health & Hospice operations and to the office departments/teams: Team Assistants; Home Health & Hospice Clinical Team; Billing; Human Resources; and Leadership.

DUTIES & RESPONSIBILITIES
  • Office Support
  • Greet and direct office visitors, answer main office telephone line, respond to direct requests for information and/or forward messages to appropriate staff.
  • Ensure the office is kept in a professional, orderly, and clean fashion.
  • Orders and maintains accurate record for office and medical equipment and updates spreadsheets for supplies for Hospice/Home Health as well as help to put away supplies as they arrive.
  • Manages incoming, outgoing, and interoffice mail.
  • Maintains confidentiality of patient information.
  • Maintains accurate up to date medical records in accordance with regulations of Medicare and the Policy and Procedure manual.
  • Maintains accurate up to date medical records in accordance with regulations of Medicare and the Policy and Procedure Manual.
  • Input's data into computer for billing purposes.
  • Responsible for assisting with audits of patient information.
  • Performs other necessary functions/duties as assigned by the Program Director and/or Administrator.
  • Participates in and assists with community activities, i.e., health fairs, conventions, community education programs, etc. as assigned by Program Director, Director of Clinical Services and/or Administrator.

Support to Department/Teams
  • Assist the billing team by reviewing billing reports (PDGM; Pre-Post) and following up to ensure items are obtained for timely billing.
  • Print deliver and track in all orders for the Kingman Branch and assist with other locations as needed.
  • Prepare Face-to-Face packets for Kingman branch and other areas as needed.
  • Maintain Order tracking reports/Face-to-Face reports weekly.
  • Maintain Emergency Preparedness binder with recent Census report (Monday); maintain temperature and cleaning logs as needed.
  • Review and Process with guidance of DCS Facility Claims for payment.
  • Assist with Workflow items when needed.
  • Follows written and oral instructions
  • Maintain patience, tact, cheerful disposition and enthusiasm
  • Must comply with all training requirements
  • Review Forcura daily and process items or direct correspondence to the correct department

JOB REQUIREMENTS (Education, Experience, Knowledge, Skills & Abilities)
  • Must possess, as a minimum, a high school diploma
  • Preferred to have a minimum, 1-2 year(s) experience in medical records of a health care facility
  • Must be able to read, write, speak, and understand the English language.
  • Must possess the ability to make independent decisions when circumstances warrant such action.
  • Must possess the ability to deal tactfully with personnel, residents, visitors, and the general public.
  • Must be knowledgeable of medical terminology, laws, and regulations as they pertain to long-term care.
  • Must possess the ability to work harmoniously with other personnel.
  • Must possess the ability to minimize waste of supplies, misuse of equipment, etc.
  • Must possess the ability to seek out new methods and principles and be willing to incorporate them into existing practices.
  • Be able to follow written and oral instructions.
  • Be knowledgeable in micro-computers, data input and output.
  • Must be able to relate information concerning a resident's condition.
  • Must not pose a direct threat to the health or safety of other individuals in the workplace.
