We are seeking a detail-oriented, compassionate Cardiac Procedure Scheduler to join our healthcare team in Inverness, FL. In this role, you will help ensure patients receive timely, well-coordinated cardiac care by scheduling diagnostic and interventional procedures, communicating clearly with patients and clinical partners, and managing required documentation and authorizations.
The ideal candidate is highly organized, comfortable working in a fast-paced medical environment, and committed to providing excellent patient service while protecting confidentiality.
Essential Duties and Responsibilities
- Schedule outpatient and hospital-based cardiac procedures, including echocardiograms, cardiac ablations, and other physician-ordered diagnostic or interventional services.
- Coordinate procedure dates and times with physicians, hospitals, surgery centers, and ancillary departments.
- Obtain, verify, and track insurance authorizations and referrals before procedures are scheduled.
- Communicate procedure details, preparation instructions, arrival times, and expectations clearly and compassionately to patients.
- Confirm that orders, documentation, laboratory results, and medical records are complete before scheduled procedures.
- Maintain clear, ongoing communication with providers, clinical staff, hospitals, and patients regarding scheduling updates or changes.
- Reschedule procedures promptly when needed while working to minimize delays in patient care.
- Accurately document scheduling activities in the electronic health record (EHR) and scheduling systems.
- Respond professionally and compassionately to incoming scheduling calls and patient questions.
- Maintain HIPAA compliance and protect patient confidentiality at all times.
- Support additional scheduling and administrative responsibilities as assigned.
Education and/or Experience
- High school diploma or equivalent required.
- Previous experience in a medical office, healthcare administration, procedure scheduling, or surgery scheduling.
- Working knowledge of insurance verification, prior authorizations, and referral processes.
- Experience with electronic health records and medical scheduling software, eCW preferred.
- Strong organizational skills, attention to detail, and the ability to manage multiple priorities accurately.
- Excellent communication, customer service, and problem-solving skills.
- A patient-centered approach and the ability to remain calm, professional, and compassionate in a busy environment.
Preferred Qualifications
- Familiarity with hospital scheduling processes.
- Experience supporting cardiovascular or cardiology procedures, including diagnostic and interventional services.
