Job Purpose

The primary purpose of this position is to provide exceptional customer service with positive attitude while performing a number of office and technical tasks to accomplish the specialized processing of information, documents or materials while working in an environment with other processing assistants, but may require working independently. While work goals and expectations are shared, individual assignments may vary and are listed on an independent job booklet. Employees report to a higher-level administrative employee.

Responsibilities

  • On a daily basis, the employee performing on this level is in direct contact with the public either in person, one-on-one or on the telephone. Other interaction on a daily basis relates to coworkers, supervisor and medical and administrative staff.
  • On a daily basis the employee has contact with records, reports and files which include patient medical records, patient medical releases, billing and reimbursement information, statistical data and appointment schedule, all of which must be held in extreme confidentiality .The employee has access to files relating to patient medical care for the purpose of processing for a specific and requested medical service. This includes following medical records procedures as set by the agency. Other files may relate to statistical information, agency or section procedures, references to billing and reimbursement and maintenance of closed or purged information.
  • Employee is to maintain and keep updated individual clerical instruction manual, which specifies correct procedures, and instructions in order to perform daily duties with proficiency.
  • Employee may be asked to compose or summarize in writing discussions or events as a result of participating in meetings, workshops or seminars.
  • Employee must be able to communicate effectively and with accuracy while composing minutes, emails or correspondence.
  • Employee may receive mail daily or periodically as it relates to patient medical information or assigned job duties or as necessary for interoffice communication. In some cases employee may be asked to assemble, separate, stamp date and distribute agency mail and information.
  • Employee may be asked to copy and distribute information to employees or specific mailings to clients.

Qualifications

Education & Experience: Graduation from high school and one year of office assistant/secretarial experience; or an equivalent combination of training and experience.

Excellent customer service skills required. One year of experience working in a medical office setting, preferred.

Computer Skills: Prior experience with Microsoft Windows, Proficient in typing accurately and fast paced. Expectations of operating a variety of typical office equipment successfully (telephone, fax, scanner, printer, etc..)

License/Credentials: Possession of a valid NC drivers license and access to a personal vehicle. Bilingual in Spanish (written and oral), preferred.
