    Summary:

    • The Procurement Coordinator III coordinates care for patients with end-stage organ failure at the time of donor organ offer through the admission for transplantation or decline of the organ offer. The Procurement Coordinator III has mastered the role, and as such, serves as a lead to Procurement Coordinator I/II. They possess a special expertise in organ allocation and donor-recipient matching who work to optimize the acceptance of organs for transplantation and support quality transplant outcomes for patients with end-stage organ failure. They are responsible for managing the process of donor organ placement for the Penn Transplant Institute solid organ transplant programs including heart, lung, liver, kidney, pancreas, and VCA in collaboration with the local Organ Procurement Organization, (Gift of Life Donor Program), the United Network for Organ Sharing and its affiliate members, the Transplant surgeons, and members of the Penn transplant teams. The procurement coordinator takes first call (DonorNet) for organ offers and accepts or declines the offers based on a protocol and /or discussion with the transplant surgeon or his designee. The Procurement Coordinator organizes all aspects of the recipients OR procedure. The procurement team covers 24 hours a day, 7 days a week. This individual serves as an integral member of the transplant team in supporting donor-recipient matching and ensuring regulatory compliance with allocation and documentation. The procurement coordinator complies with all regulations and standards set forth by transplant regulatory agencies, accrediting bodies, The Penn Transplant institute, and UPHS.

    Responsibilities:

    • Procurement Coordination\tCoordination of deceased donor transplant organ offers - heart, lung, kidney, liver, pancreas and VCA \tClinical screening deceased donor organ offers, utilizing patient demographics, past medical, surgical and social history, laboratory and diagnostic test results and transplant program clinical criteria using the 30-min required timeframe established by the Organ Procurement and Transplantation Network (OPTN)\tPresent potentially suitable organ offers to the procurement coordinator II-III, transplant surgeon and/or physician for recipient matching of waitlisted patients\tCollaborates with the transplant surgeon and other team member to determine donor and recipient suitability\tGenerate test match runs upon request and provide results to the live donor team for end-chain live donor screening\tServe as second person to verify recipient blood type for new and waitlisted patients. \tActs as the first call person for DonorNet organ offers during scheduled shifts to provide continuous coverage 24/7 \tInitiate and participate in clinical documentation and interdisciplinary handoffs using practices, documentation systems and adherence to OPTN requirements\tDocument transplant program interest and organ offer declines using clinically relevant refusal codes in accordance with OPTN policy\tInterpret laboratory testing to assess donor : recipient matching including infectious disease serologic testing, COVID testing and associated cycle threshholds, imaging and diagnostics\tReview and educate transplant candidates regarding donor parameters that require patient authorization prior to organ acceptance and patient transplantation\tRequest donor management suggestions (laboratory, diagnostics, medications, etc,) in accordance with programmatic clinical protocols\tPatient notification to facilitate patient transportation, translation services, emergent patient mobilization to HUP, directions, changes in timing, emotional and logistical support, etc.\tCase notification - coordination of all consultant services, clinical support, perioperative scheduling, unit-based communications, directing provider admission orders, research etc.\tFacilitate clinical screening for end-chain live donor in live donor kidney transplants\tImport kidney offers per protocol and work in conjunction with Transplant Surgeon for acceptance\tFacilitate organs on pump cases (heart, lung, & liver) in addition to traditional cases\tCoordinate Normothermic Regional Perfusion cases for abdominal and thoracic teams

    Quality Assessment and Performance Improvement (QAPI)\tParticipates the PTI QAPI program efforts to support patient outcomes and ensure alignment with regulatory requirements \tDocuments practice according to policies and procedure for the PTI and organ programs \tAbides by procurement workflows to support the capture of key data elements to meet reporting needs\tEvaluate processes for organ offer management and assists in assessing and planning for improvement in organ procurement processes and practices

    Communication\tCommunicates effectively and appropriately with co-worker, supervisors and other hospital employees in order to maintain good working relationships/partnerships\tPreserves confidentiality, privacy and dignity of patients and visitors, according to HUP policy \tActs as a consultant to the patient/family and multidisciplinary staff \tAnticipates probable patient/customer physical and emotional needs are met\tCommunicates and responds with empathy to patient, families and other staff members.\tCommunicate and works collaboratively with Gift of Life Donor Program, other nationals OPO's and UNOS\tActs as a consultant to OPO's

    Patient Safety\tParticipates in Entity and Department wide initiatives for Patient /Employee safety\tDemonstrates an awareness of patient/ employee safety when carrying out daily responsibilities of their position

    Education\tFunction as a resource to health care professionals and the general public to provide education about organ allocation and transplantation\tEvaluate own clinical performance, in conjunction with immediate supervisor, and seeks appropriate continuing education.

    Lead Responsibilities\tParticipate in the interview process for new Procurement Coordinator positions \tAssist with onboarding, training, and continued development of Procurement Coordinator I/II\tContribute to planning goals and objectives for the department and assist in coordinating activities and programs coordinating activities and program\tAct as liaison and intermediary between Procurement Coordinators and supervisor \tServe as a resource for the facilitator in coordinating daily assignments and managing call-outs\tAssists staff in resolving difficult patient situations or complaints\tMay be asked to temporarily oversee all manager functions of the Procurement Coordinators in the event of the manager's absence

    Credentials:

    • Emergency Medical Technician
    • Emergency Medical Technician
    • Cert Clin Transplant Coord (Required)
    • CCTC or CPTC with 18mos of job acceptance

    Education or Equivalent Experience:

    • Bachelor of Arts or Science (Required)
