About the Role:

The Procurement Coordinator will own the day-to-day procurement process and help ensure our hardware, software, licensing, subscriptions, and vendor relationships run smoothly.

Core responsibilities will include:

  • Obtaining and comparing vendor quotes
  • Placing hardware, software, licensing, and cloud service orders
  • Tracking orders, shipments, and deliveries
  • Coordinating with vendors and distributors to resolve issues
  • Managing RMAs, returns, and warranty claims
  • Managing software subscriptions, licensing, and renewals to ensure services remain active and renewals are completed on time
  • Monitoring upcoming renewals and proactively coordinating with internal teams and vendors to prevent service interruptions
  • Maintaining accurate procurement records and updating internal systems
  • Working with Accounting to reconcile invoices and purchasing records when needed
  • Ensuring hardware and licensing are available in time for client projects and onboarding
  • Partnering with our engineering and account management teams to identify product recommendations, refresh opportunities, and licensing improvements that create additional value for clients
  • Preparing quotes and recommendations for hardware, software, and managed services that support client growth while helping drive additional recurring revenue
  • Developing strong relationships with our vendor partners and staying current on new products, promotions, and programs that may benefit our clients

Requirements

The ideal candidate should be:

  • Highly organized and detail-oriented
  • Comfortable communicating with vendors over the phone and email
  • Persistent with follow-up and able to keep tasks moving until they're fully completed
  • Tech-savvy and able to quickly learn new systems
  • Able to manage multiple priorities in a fast-paced environment
  • A strong communicator with excellent organizational skills
