Procurement Coordinator
Location: Ramsey, NJ (100% Onsite)

Contract Pay Rate: $26.00 - $28.00
Conversion Salary: Approximately $60,000 annually
Position Overview
We are seeking a highly organized and detail-oriented Special Orders Associate to support procurement, quoting, order management, and customer project fulfillment activities. This role serves as a key liaison between Sales, Purchasing, Product Management, Logistics, Vendors, and Customers to ensure special orders, bids, and procurement projects are completed accurately and on time.

Key Responsibilities
Serve as the primary point of contact for assigned special orders, bids, and procurement projects.
Prepare, submit, and track quotations, proposals, RFQs, RFPs, and RFIs.
Enter and manage customer orders and quotes in accordance with departmental guidelines.
Collaborate with Sales, Purchasing, Product Management, Procurement, Logistics, and other internal teams to fulfill customer requirements.
Monitor proposal content and order details to ensure all customer specifications and requirements are met.
Communicate project status, delivery updates, pricing changes, and additional information needs to customers and internal stakeholders.
Maintain accurate item, vendor, pricing, and purchasing information within ERP systems.
Track shipments, resolve delivery issues, and provide ETA updates.
Review open orders and proactively expedite shipments when necessary.
Assist Sales teams with gathering customer demand forecasts and project requirements.
Maintain customer satisfaction by ensuring successful implementation and follow-up after order placement.
Create and maintain stocking agreements and purchasing agreements.
Coordinate vendor follow-up activities and procurement for customer-specific products.
Support inventory management initiatives, including stock replenishment and procurement planning.
Prepare ad hoc reports and analyze order and procurement data as needed.
Assist warehouse personnel with receiving discrepancies and reconciliation of incoming goods.
Process customer returns, purchase orders, invoices, and other transactional activities as required.
Qualifications
Required
Associate's or Bachelor's degree preferred; equivalent experience will be considered.
Strong organizational and time management skills.
Excellent written and verbal communication abilities.
Ability to manage multiple projects and deadlines simultaneously.
Strong attention to detail and problem-solving skills.
Ability to work independently with minimal supervision.
Customer-focused mindset and strong follow-through.
Proficiency with Microsoft Office Suite, including Excel, Word, and PowerPoint.
Preferred
Experience in procurement, purchasing, order management, customer service, logistics, or supply chain operations.
Experience working with ERP systems; SAP experience is highly preferred.
Exposure to proposal management, bid coordination, or special-order processing.
