Responsibilities for this position include, but are not limited to:
GENERAL DESCRIPTION
The Procurement Coordinator provides administrative and operational support to the Procurement & Contracts Department by assisting with purchasing activities, contract administration, solicitation processes, and procurement recordkeeping. This position coordinates procurement-related activities to ensure compliance with federal, state, local, and organizational policies while providing excellent customer service to internal departments, vendors, and external partners.The Procurement Coordinator works under the guidance of procurement leadership and assists in the preparation,
coordination, and tracking of procurement activities that support the organization's operational and programmatic needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Procurement Administration
• Assists with the preparation and processing of purchase requisitions, purchase orders, contract documents, and procurement-related correspondence.
• Coordinates procurement requests from internal departments to ensure completeness and compliance with procurement requirements.
• Maintains procurement files and documentation in accordance with organizational record retention policies.
• Assists with solicitation activities, including Invitations for Bid (IFBs), Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and Requests for Quotes (RFQs).
• Coordinates vendor communications throughout the solicitation process.
• Schedules procurement meetings, evaluation committee meetings, vendor conferences, and contract-related activities.
Contract Coordination
• Assists with monitoring contract expiration dates and renewal schedules.
• Maintains procurement and contract tracking spreadsheets and databases.
• Coordinates collection of required vendor documentation, including insurance certificates, certifications, and compliance documents.
• Assists in preparing contract amendments, extensions, and related documentation.
Vendor Support
• Serves as a point of contact for vendors regarding procurement procedures and documentation requirements.
• Assists vendors with registration, submission requirements, and procurement inquiries.
• Maintains positive working relationships with vendors while ensuring fair and equitable procurement practices.
Compliance & Documentation
• Assists in ensuring procurement activities comply with applicable federal, state, local, and organizational procurement policies.
• Reviews procurement documents for completeness and accuracy.
• Maintains confidential procurement information and records.
• Assists with procurement audits by gathering supporting documentation.
Administrative Support
• Prepares reports, spreadsheets, and procurement metrics.
• Assists in maintaining procurement calendars and project timelines.
• Coordinates document routing for approvals and signatures.
• Supports department projects and special assignments as needed

EDUCATION and/or EXPERIENCE
• Associate degree from an accredited college or university in Business Administration, Public Administration, Purchasing, Supply Chain Management, Finance, or a related field.
• One (1) to three (3) years of administrative, purchasing, procurement, finance, or contract support experience preferred.
• Public sector or government procurement experience is preferred but not required.
• Experience maintaining detailed records and working with multiple deadlines is desirable.
• Knowledge of federal grant compliance is a plus.
• An equivalent combination of experience, training, and/or education approved by the agency
