As a Procurement Specialist you will support procurement activities for goods and services to meet organizational needs. You will assist with core purchasing tasks including requisition review, purchase order creation, and vendor coordination while ensuring compliance with organizational policies and procedures. 

As a Procurement Specialist you will partner with internal stakeholders, vendors, and cross-functional teams to ensure efficient and accurate procurement operations. 

What you'll do:

Procurement & Purchasing 

  • Review purchase requisitions for completeness and accuracy 
  • Obtain vendor quotes and compare pricing options 
  • Request vendor quotes and compile pricing information for review 
  • Prepare purchase orders (POs) for review and approval 
  • Monitor order status and communicate delivery updates. 
  • Assist with pricing, delivery, or invoicing 
  • Maintain accurate procurement records and documentation 

 

Vendor Support 

  • Update vendor files and maintain documentation 
  • Assist with vendor onboarding and documentation collection 
  • Coordinate communications with vendors regarding orders and deliveries 
  • Support vendor performance tracking 

 

Compliance & Administrative Support 

  • Folow company procurement policies, procedures and approval processes. 
  • Collect and verify required documentation (e.g., W-9s, insurance, compliance forms) 
  • Provide documentation and information to support audit or reporting requests 

 

Financial & Operational Support 

  • Assist with reconciliation of purchase orders, invoices, and receipts 
  • Provide information to Accounting to revolve payment or invoice questions. 
  • Track purchasing activity and basic spend data 
  • Prepare standard reports 

 

Process Support 

  • Follow established procurement procedures and workflows 
  • Share observed issues or improvement ideas with supervisor or team members 
  • Use procurement tools and systems in accordance with established processes 
  • Support adoption of procurement tools and systems 

Required Skills and Experience:

  • Bachelor’s degree and/or equivalent in Business or related field
  • 0-3 years experience in procurement, purchasing or administrative support
  • Requires strong attention to detail and accuracy
  • Requires effective communication and customer service skills
  • Must be proficient in Microsoft Office (especially Excel)
