Logistics Coordinator / Production Coordinator

Pay Rate: Up to $24.00 per hour — no flexibility on the pay rate
Position Overview
Our client is seeking a highly organized, resourceful, and fast-paced Logistics Coordinator to join the U.S. Operations team for a 4-month contract assignment. This role will support logistics operations for Bravado and FameHouse, coordinating the movement of merchandise and products from vendors and manufacturers to e-commerce warehouses, retail distribution centers, fulfillment facilities, and tour locations.
The Logistics Coordinator will support both domestic and international logistics, including inbound and outbound shipments, transportation scheduling, shipment tracking, warehousing and distribution order processing, and coordination with vendors, carriers, fulfillment centers, tour teams, and internal departments.
This is a highly communication-intensive role that requires exceptional organization, attention to detail, responsiveness, and the ability to manage multiple priorities simultaneously. The ideal candidate is comfortable working in a fast-paced environment where shipments may move quickly — sometimes overnight — and is willing to take initiative to ensure critical deadlines and deliveries are met.
Important Schedule Note: While most work will occur during standard business hours, this position requires flexibility to occasionally work outside of regular business hours, including evenings or weekends, when necessary to support time-sensitive projects, urgent shipments, major product drops, tour logistics, or other critical delivery needs.
Key Responsibilities
- Coordinate transportation, manufacturing, and materials moving to and from vendors, fulfillment centers, warehouses, retail locations, and tour locations.
- Support domestic and international logistics operations, including shipment scheduling, tracking, documentation, and issue resolution.
- Manage inbound merchandise shipments to e-commerce warehouses and retail distribution centers.
- Coordinate tour shipments to and from various locations, ensuring shipments are properly scheduled, tracked, and delivered.
- Track time-sensitive and high-priority shipments, including expedited and overnight deliveries.
- Monitor shipments that are delayed, held, or stuck in customs and work quickly to resolve issues.
- Communicate shipment updates, delays, and resolutions clearly and efficiently to all impacted internal and external parties.
- Work closely with the Logistics Manager to ensure timely and accurate deliveries to and from fulfillment centers.
- Support the Operations Team with shipment scheduling and tracking through Monday.com.
- Utilize carrier tracking tools such as FedEx Advanced Shipment Tracking and UPS Quantum View.
- Coordinate with transportation partners, vendors, carriers, warehouses, fulfillment centers, and internal departments.
- Assist with warehousing and distribution order processing and ASN enforcement.
- Develop and maintain operational relationships with domestic and international manufacturing vendors.
- Ensure approved vendors have adequate material and supply stock to support production and operational needs.
- Schedule supply deliveries to vendors to minimize production delays or slowdowns.
- Purchase supplies and maintain vendor relationships while identifying opportunities to reduce costs through bulk purchasing and discounts.
- Maintain accurate inventory levels of company supplies for vendors and the tour department.
- Audit warehouse orders and inventory stock as needed.
- Support vendor compliance and documentation requirements, including contracts and CSR-related documentation.
- Ensure vendor chargebacks are issued when appropriate for non-compliance.
- Prepare and report on quality and logistics KPIs.
- Maintain accurate records, shipment documentation, and tracking information in SharePoint and other systems.
- Respond efficiently to a high volume of communications and manage a large number of simultaneous logistics requests.
- Cross-train across the Operations Team and provide support as needed.
- Monitor logistics news, trends, and industry updates and share relevant information with other departments.
- Participate in special projects and perform other duties as assigned.
Required Qualifications
- Approximately 2–4 years of relevant experience in logistics, transportation, operations, order management, supply chain, customer service, or a related field.
- Strong organizational skills and the ability to manage multiple priorities, deadlines, shipments, and communications simultaneously.
- Excellent verbal and written communication skills.
- Strong attention to detail and follow-through.
- Ability to work efficiently and accurately in a high-volume, fast-paced environment.
- Strong problem-solving skills and the ability to quickly identify solutions when shipments encounter delays or issues.
- Resourceful approach with the ability to locate information, research solutions, and take initiative.
- Ability to work independently while also collaborating effectively with a cross-functional team.
- Strong proficiency with Microsoft Office Suite, including Outlook, Excel, and Word.
- Ability to prioritize workload, manage timelines, and meet strict deadlines.
- Willingness to occasionally work outside of regular business hours, including evenings or weekends, when urgent business needs require additional support.
Preferred Qualifications
- Experience with domestic and international logistics and transportation.
- Experience with LTL (Less-Than-Truckload) shipping and transportation networks.
- Experience using Monday.com for shipment or project tracking.
- Experience with FedEx Advanced Shipment Tracking and UPS Quantum View.
- Advanced experience with SharePoint and the ability to efficiently organize and manage information within the platform.
- Experience shipping consumer merchandise, apparel, or other physical products.
- Experience in apparel merchandising, music merchandise, entertainment, retail, e-commerce, or consumer products.
- Experience supporting logistics for music merchandise, entertainment companies, events, tours, or similar industries.
- Experience with warehousing, fulfillment, and distribution operations.
- Bachelor's degree in business, Logistics, Supply Chain Management, or a related field is preferred.
