Production & Fulfillment Manager (Hands-On, Small Batch / GMP) 

  • Full-time position, on-site at 5005 S. Macadam Ave., Portland, OR.
  • Monday-Friday, 8:00 AM-4:30 PM; occasional additional hours as needed.

ACHS is hiring a hands-on Production & Fulfillment Manager to lead daily operations in our small-batch, GMP-compliant facility. This is a working manager role: you will oversee a small team (in partnership with an existing Team Lead) while actively participating in production, fulfillment, and problem-solving every day.

We are not a large-scale manufacturing plant. We are a mission-driven, detail-oriented operation producing certified organic essential oils, botanicals, and academic lab kits for students and customers worldwide. Our environment is high-mix and quality-focused, where accuracy, care, and continuous improvement matter more than volume.

In this role, you will be accountable for the day-to-day performance of a small production and fulfillment operation—ensuring orders are accurate, on time, and fully aligned with GMP and organic standards—while coaching, supporting, and elevating the team on the floor.

You’ll oversee end-to-end production and fulfillment, including order processing, small-batch production, inventory flow, and shipping for both student lab kits and retail orders through the Apothecary Shoppe. Success in this role means balancing hands-on execution, team leadership, and operational discipline to deliver a consistently high-quality student and customer experience.

Our Portland facility is Oregon Tilth Certified Organic and GMP-compliant; you’ll be the operational leader responsible for upholding these standards every day.

What You’ll Own

Daily Operations & Fulfillment

  • Run the daily production and fulfillment schedule, adjusting priorities in real time to ensure all student lab kits and retail orders ship accurately and on time
  • Work on the floor alongside the team as needed, including measuring and bottling essential oils, weighing and packaging herbs, and assembling kit components
  • Ensure order accuracy and completeness, stepping in to resolve issues quickly and keep work moving
  • Coordinate production and shipping workflows so the team stays organized, on pace, and aligned with daily goals
  • Verify that materials, supplies, and inventory are staged and ready for production in partnership with the Procurement & Inventory Director
  • Serve as the on-site point of contact for vendors and facility needs, ensuring the space runs smoothly and efficiently
  • Oversee returns processing, including assessing condition, coordinating credits, and restocking usable inventory
  • Maintain clear, timely communication across production, fulfillment, and customer requests to keep operations running smoothly

Team Leadership

  • Lead, coach, and support a small, hands-on production team, maintaining high standards for accuracy, speed, and quality
  • Set clear daily expectations and priorities, ensuring the team stays focused, on pace, and accountable for results
  • Provide real-time coaching on the floor to improve workflow, productivity, and consistency
  • Support training and onboarding to ensure team members are confident, capable, and aligned with GMP and operational standards
  • Identify and implement practical process improvements that reduce waste, improve efficiency, and strengthen ACHS’s sustainability values — and ensure they are consistently followed

Inventory, Quality & Compliance

  • Monitor inventory levels daily and coordinate proactive restocking with the Procurement & Inventory Director to prevent disruptions
  • Work closely with the QA Manager and GMP & Quality Assurance Coordinator to ensure batch accuracy, labeling compliance, and adherence to GMP standards
  • Participate in and support physical inventory counts, investigating and resolving discrepancies as needed
  • Maintain a clean, organized, and audit-ready facility, ensuring all workspaces reflect ACHS quality, safety, and operational standards

Requirements

You don’t need to check every box — but the more of these that describe you naturally, the better.

  • Working knowledge of Good Manufacturing Practices (GMP) or quality assurance in a production environment
  • 3+ years managing hands-on production or fulfillment in a small to mid-sized operation (not large-scale manufacturing)
  • Experience leading a small team (typically under 10 people) and managing daily production or fulfillment workflows
  • A proactive, high-energy approach: you anticipate needs, solve problems quickly, and keep work moving
  • Strong organizational skills with the ability to manage multiple priorities and shifting demands without losing accuracy
  • A sharp eye for detail and solid math skills (including weights, volumes, and measurements)
  • Comfortable using technology in daily operations, including inventory or order management systems (e.g., NetSuite, Shopify, Google Workspace, or similar tools)
  • Clear, professional communicator with the ability to work effectively with both on-site and remote team members
  • Experience with inventory management, production tracking, or order fulfillment systems
  • Genuine interest in natural products, organic standards, or mission-driven work — this is more than a logistics role

Strongly preferred:

  • Experience in natural products, supplements, cosmetics, food production, or other regulated environments
  • Familiarity with essential oils, dried herbs, or botanical products
  • Relevant training or certifications (e.g., Natural Products Manufacturing, Aromatherapy, Herbal Studies)

Physical requirements:

  • Able to lift up to 40 lbs and remain on your feet for extended periods during the workday

Work Environment and Physical Demands

Work is generally performed indoors in a storage, sorting, and fulfillment area, and in a lab that requires the use of PPE (lab coat, hair covering, gloves, and mask; artificial nails, eyelashes, and jewelry is not permitted during production). Frequent exposure to fragrant herbs and oils.

  • Stooping, bending at the knees and waist, kneeling, reaching, and occasional climbing of a ladder to retrieve or store materials.
