We are seeking a highly organized and proactive Professional Administrator to join a dynamic team tasked with increasing capacity across the company. This staff-level role offers an exciting opportunity to independently manage essential project coordination tasks, support leadership communication, and prepare executive-level materials that drive success.

This position supports multiple directors and involves drafting communications, consolidating data, and maintaining organized documentation-all integral to our ongoing initiatives. The role is ideal for someone with strong judgment, excellent communication skills, and the ability to work autonomously while collaborating across teams.
This is a contract position with a pay rate of $41 per hour, supporting a schedule of 9/80 work hours, with the potential for conversion to a permanent role. The maximum markup rate is 36%, and the maximum bill rate is $55.76 per hour. Please note, U.S. citizenship is required, with no dual citizenship accepted.
Key Responsibilities:
- Manage and coordinate administrative and operational activities for multiple directors involved in a major company initiative
- Draft, facilitate, and distribute internal communications to ensure alignment and progress tracking
- Consolidate multi-source data and updates into clear summaries and reports
- Prepare presentations and briefing documents for leadership meetings and reviews
- Schedule, coordinate, and follow up on team activities, meetings, and milestones
- Maintain shared documents and information repositories for seamless access
- Identify gaps in information, follow up on missing inputs, and ensure timely completion of actions
- Exercise discretion when handling sensitive business information
- Provide general support to leadership on planning and project execution
Required Skills:
- Excellent written and verbal communication
- Ability to work independently and manage multiple priorities
- Proficiency in Microsoft Office Suite (PowerPoint, Excel, Outlook, Word)
- Strong organizational skills and high attention to detail
- Professional judgment, discretion, and a customer-focused mindset
- Ability to synthesize information from various sources into professional formats
Nice to Have:
- Experience supporting large-scale programs or cross-functional projects
- Data tracking, reporting, and presentation development skills
- Proven ability to build cross-team relationships
- Strong follow-through and problem-solving abilities
Preferred Education and Experience:
- Bachelor's degree or equivalent professional experience
- 2-5 years in administration, project coordination, or business support roles
- Experience supporting multiple stakeholders in a matrixed environment is a plus
