The Professional Staff Assistant (PSA) will support Production Assurance, reporting to the Staff Operations Manager but assigned to a group(s) within the division. The PSA will interact daily with the Group Leaders and the First Line Managers in the organization. The PSA is responsible for providing advanced-level support to the management team in the areas of administration, finance, HR, communications, purchasing, and security. The PSA will maintain a professional office atmosphere and assume responsibility with minimal supervision, demonstrating accuracy and attention to detail, initiative, versatility, tact, and confidentiality in all matters. The successful candidate must be a motivated performer capable of quickly changing focus, acting independently, and comfortable with a broadly defined scope of work. Work is conducted in a busy, fast-paced team environment that requires close cooperation, adaptability, taking initiative in completing tasks, and a willingness to provide support where needed.

Responsibilities include the following:

  • Serve as a member of the Group management team advising in the areas of strategic staffing/hiring, organizational operations, and administrative activities.
  • Provide guidance and high-level administrative management in all areas business and operations.
  • Serve as a trusted advisor and confidant to management on a multitude of unique issues including sensitive employee relations, etc.
  • Special projects as assigned by the Group Leader


What You Need

Minimum Requirements

Professional Support:

  • Ability to identify issues, develop solutions, and innovate business practices to ensure team/group success. Ability to conduct research, investigate alternatives, and recommend solutions for problems affecting business, and or programmatic oversight of the assigned area's specialized functions.
  • Demonstrated experience working with confidential or proprietary information, classified documents or sensitive information, including PII.
  • Ability to work independently and collaboratively in support of the team and the mission. Willingness to provide support wherever needed in a fast paced environment.
  • Lead efforts of small multi-disciplinary projects while providing schedules, project status, guidance, and relevant documentation.


Organization and Time Management:

  • Demonstrated ability to organize, prioritize, and follow-through to completion on multiple tasks, often under strict deadlines, with frequent interruptions, and changing priorities in a dynamic and fluid working environment.
  • Demonstrated record of dependability, availability, attendance, and punctuality.
  • Demonstrated experience making decisions and resolving complex problems both independently and as a team member using judgment and creativity to determine the approach or action to take in non-routine situations.


Communication:

  • Ability to interact effectively with various levels of internal and external personnel including the ability to build effective working relationships.
  • Excellent oral, written, and interpersonal skills, including proofreading, grammar, spelling, punctuation, accuracy, and attention to detail.
  • Excellent customer service skills.


Business Systems:

  • Expert level knowledge and experience with the Microsoft Office Suite (particularly with Outlook, Excel, and Word). Ability to independently interpret data and information.


Education for the PSA-1: Position requires a Bachelor's Degree and 2 years related experience; or, an equivalent combination of education and experience directly related to the occupation. Undergraduate coursework may be expected at this level.

Desired Qualifications

  • Demonstrated ability to manage complex calendars and coordinate meetings
  • Ability to obtain a Q-clearance


Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
