What You Will Do

Professional Staff Assistant 1
The MST-15 Group Office seeks a highly organized, proactive, and experienced Professional Staff Assistant to provide administrative and operational support to a dynamic, mission-focused organization. This role offers the opportunity to work closely with Group Managers programs to support a wide range of internal and external operational needs.

As the PSA, you will be responsible for the coordination of business operations, communication, project planning, and customer interface functions across MST-15. You will manage processes related to communications, purchasing, event planning, calendar management, domestic and foreign travel, and project execution. This position requires a motivated, detail-oriented professional who can manage complex tasks independently, adapt to changing priorities, and operate with a high degree of professionalism, discretion, and integrity.

Key Responsibilities

  • Provide direct support to group leadership and staff across administrative, operational, and logistical needs.
  • Maintain and manage group leader calendars, travel arrangements (domestic and foreign), and correspondence workflows.
  • Act as the first point of contact for internal and external customers, ensuring timely, professional responses and coordination.
  • Organize and support events, meetings, visits, workshops, and classified briefings, including logistics, communications, and follow-up actions.
  • Develop and implement administrative systems, procedures, and tools to improve operational efficiency and compliance.
  • Oversee business operations in collaboration with Finance, Procurement, and Security teams.
  • Serve as a liaison to stakeholders across the Laboratory and federal agencies to ensure alignment with policies, regulations, and mission needs.

Professional Staff Assistant 1 ($66,100 - $103,600)

  • Keeping the group leaders informed of non-technical, administrative matters (e.g., travel, procurement, Oracle Time and Labor (OTL), space issues, policies and procedures, etc.).
  • Providing oversight of the administrative functions and support of the group offices.
  • Managing complex calendars for group management staff.
  • Support management of office space.
  • Onboard/off-board employees.
  • Under established directions, coordinate audit and assessment schedules.
  • Supporting and completing special projects, across the group.

What You Need

Minimum Job Requirements:

  • Experience coordinating data call responses.
  • Experience with calendar management.
  • Experience with Outlook, Excel, PowerPoint, and Word.
  • Experience effectively communicating with all levels of internal and external personnel, including the ability to build effective working relationships.
  • Experience with coordinating logistics such as scheduling meetings, booking conference rooms.
  • Ability to obtain and maintain a Q clearance which often requires US citizenship.
Education/Experience: Position requires a Bachelor's Degree and 2 years related experience; or, an equivalent combination of education and experience directly related to the occupation. Undergraduate coursework may be expected at this level.

Essential Job Functions(can perform with or without reasonable accommodation): Peripheral vision, depth perception, reading vision and distance vision (corrected), ability to hear in a normal range (500 to 3000 Hertz), standing, walking, and lifting 20-30 pounds.

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.
Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q(Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance, and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
