What You Will Do

The Associate Laboratory Directorate for Chemical, Earth, and Life Sciences (ALDCELS) is seeking a Professional Staff Assistant 2 to join our team and provide senior-level administrative support. We are seeking a highly motivated and customer-service-focused individual to work in our exciting and fast-paced organization. In this role you will be responsible for executing the following:

  • Manage complex calendars, scheduling, and prioritization for senior level executives.
  • Coordinate meetings, agendas, briefing materials, and follow-up action items.
  • Serve as a trusted liaison between our executives, internal teams (Division, Group and Team level), and external stakeholders.
  • Prepare professional correspondence, presentations, reports, and executive communications.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Coordinate domestic and international travel arrangements, itineraries, and expense reporting.
  • Anticipate executive needs and proactively solve administrative and operational challenges.
  • Track priorities, deadlines, and strategic initiatives to ensure timely execution.
  • Support executive decision-making through research, organization, and information management.
  • Plan and coordinate high-level meetings, events, and leadership engagements.
  • Maintain organized records, filing systems, and operational documentation.
  • Partner cross-functionally to improve processes, communication flow, and executive efficiency.
  • Provide high-level administrative support in a fast-paced, dynamic environment.
  • Manage competing priorities while maintaining exceptional attention to detail.
  • Act as a professional representative of the office and organization
  • Support special projects and strategic initiatives as assigned.



What You Need

Minimum Job Requirements:



Administrative Support
  • Experience successfully working on a team to provide high-level administrative support in a fast-paced office environment by serving as the first point of contact for internal and external customers.
  • Proven ability to interact effectively with all levels of internal and external personnel, including networking with senior-level internal and external personnel.
  • Excellent customer service skills.
  • Proven experience taking a proactive approach to problem-solving with strong decision-making skills.
  • Proven competence managing calendars, coordinating complex meetings, arranging/processing travel, and placing procurements.
  • Proven ability to work with, and appropriately handle, sensitive information.
  • Advanced knowledge of the Laboratory's organizational structure and administrative policies, practices, and procedures.

Organization and Time Management
  • Ability to organize, prioritize, and follow-through to completion on multiple tasks, often under strict deadlines, with frequent interruptions, and changing priorities.
  • Proficient using tools to organize and manage processes and actions with a proven ability to maintain detailed tracking of information.

Communication
  • Proficient at writing and formatting internal and external correspondence and emails.
  • Excellent oral and written communication skills.

Business Systems
  • Experience using Lab-wide systems (Oracle, Time and Labor, Concur, Ariba, etc.) and business software (Microsoft Office, SharePoint, MS Teams, etc.).
  • Strong computer skills.

Personal Leadership
  • Ability to adapt to new work environments, personnel, and work locations.


Education Required:

A bachelor's degree in a related field and a minimum five years of related experience, or an equivalent combination of education and experience.

Desired Qualifications:

  • Active DOE Q-Clearance
  • Experience organizing large meetings or events.
  • Experience working with and appropriately handling classified information.

Work Environment:

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

While the posted salary range for this position is broad, it is highly unusual for selected applicants to be hired at the top end of the range and more common for selected candidates to grown into the full salary band over time.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q(Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance, and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
