Grace Haven's Senior Center is seeking a compassionate, creative, and highly organized Program & Activity Coordinator to lead the planning and coordination of engaging programs while supporting the daily operations of our Adult Day Center.
This role is responsible for developing meaningful activities that promote participants' physical, cognitive, emotional, and social well-being. The Program & Activity Coordinator will also build community partnerships, conduct field marketing and outreach, and collaborate with local organizations to expand awareness of Grace Haven's services and increase community engagement.
The ideal candidate is energetic, relationship-focused, and passionate about enriching the lives of older adults through innovative programming and exceptional service.
Design, coordinate, and facilitate engaging daily, weekly, monthly, and seasonal activities that promote participants' physical, cognitive, emotional, and social well-being.
Develop creative activity calendars, themed events, wellness initiatives, educational workshops, and community celebrations.
Plan individualized and group activities that encourage independence, creativity, social interaction, lifelong learning, and healthy aging.
Evaluate program effectiveness and continuously introduce new ideas based on participant interests, feedback, and best practices.
Coordinate volunteers, guest speakers, entertainers, and community partners for special programs and events.
Conduct field marketing and community outreach to promote Grace Haven's Adult Day Services.
Build and maintain referral relationships with hospitals, physicians, rehabilitation centers, assisted living communities, senior living facilities, home care agencies, churches, social workers, case managers, veterans' organizations, and other community partners.
Represent Grace Haven at health fairs, networking events, senior expos, community presentations, and outreach activities.
Assist in developing marketing strategies that increase participant enrollment and community awareness.
Collaborate on promotional campaigns, presentations, educational events, and partnership initiatives that strengthen Grace Haven's presence in the community.
Foster a safe, welcoming, respectful, and person-centered environment where participants feel valued and engaged.
Monitor participant involvement and adapt activities to accommodate individual needs, interests, and abilities.
Collaborate with families, caregivers, and healthcare professionals to support individualized care plans.
Encourage social engagement, independence, confidence, and overall quality of life.
Work collaboratively with the Program Director, direct care staff, volunteers, and interdisciplinary team members.
Assist in onboarding, coaching, and supporting activity and care staff.
Promote teamwork, professionalism, accountability, and compassionate service.
Assist with activity scheduling and program coordination to ensure consistent participant engagement.
Support the daily operations of the Adult Day Center to ensure efficient and high-quality service delivery.
Maintain compliance with Virginia Adult Day Care Regulations (22VAC40-61) and organizational policies.
Ensure accurate documentation of participant attendance, activity participation, incident reports, and required records.
Assist with audits, inspections, quality improvement initiatives, and licensure requirements.
Maintain activity calendars, participant documentation, reports, and program records.
Assist with inventory management, supply ordering, budgeting, and resource planning.
Monitor program outcomes and recommend improvements that enhance participant satisfaction and operational efficiency.
Perform other related duties as assigned to support the mission and goals of Grace Haven's Senior Center.
Experience coordinating recreational, therapeutic, or adult day care programs.
Experience in event planning, community outreach, business development, or marketing.
Experience building referral partnerships and community relationships.
Leadership or supervisory experience in healthcare, senior services, recreation, or human services.
