Requirements & Responsibilities: Program Administrative Assistant
Secure Data Transfer & Management:
o Serve as a Data Transfer Agent, ensuring the integrity and security of information as it moves between systems.
o Strictly adhere to established protocols for handling controlled and sensitive data.
Transcription & Documentation:
o Transcribe technical discussions, handwritten notes, into polished, professional documents.
o Demonstrate high typing speed and superior command of grammar and technical terminology.
Meeting Support:
o Attend program meetings to record comprehensive minutes, tracking action items, decisions, and deadlines.
o Distribute finalized summaries to stakeholders in a timely, organized manner.
Information Architecture & File Organization:
o Maintain and audit physical and digital filing systems to ensure rapid retrieval of critical program documents.
o Standardize naming conventions and folder structures to improve team efficiency.
Security & Compliance:
o Our client requires that candidates must have an active/current DoD Confidential Personnel Clearance (PCL) to start, for which the U.S. Government requires U.S. Citizenship.
Travel & Mobility:
o Willingness and ability to travel to support off-site meetings, program reviews, or data couriering to customer locations.
o Must possess a valid drivers license and reliable transportation.
Technical Skills & Qualifications: Program Administrative Assistant
Software Proficiency: Advanced knowledge of Microsoft Office 365 (Word, Excel, SharePoint, and Teams).
Organizational Skills: Proven ability to manage competing priorities in a fast-paced environment.
Communication: Exceptional verbal and written communication skills, specifically in a professional or military-industrial context.
Education and Experience Level Required: Program Administrative Assistant
HS Diploma / AS Administration and 3-5 yearsA
