Campus Title Program Aide, SG-13 (Office of Field Experience) Department School of Education Position Summary

HIGHLIGHTS

SUNY Geneseo is looking for a team member to join the School of Education as a Program Aide, SG-13. In this position, you will support the administration and operation of the Field Experiences program by:

  • coordinating student teaching placements
  • managing partnerships with P-12 school districts
  • monitoring program compliance
  • administering program systems
  • serving as a resource to students, faculty, supervisors, and educational partners
  • This posting is for reclassification purposes

Required Qualifications

MINIMUM QUALIFICATIONS

Candidates must have a permanent appointment in a Program Aide, SG-13, classified position; be reachable for appointment on the current NYS Civil Service canvass list for SUNY Geneseo's area location for a Program Aide, SG-13 position; or be transfer eligible.

NY HELPS: Three years of experience performing clerical, keyboarding, or paraprofessional work in an office environment.

Preferred Qualifications

PREFERRED QUALIFICATIONS

  • Bachelor's degree in education, social sciences or related field.
  • Experience in supporting an academic department of a college/university
  • Experience with program-related budgetary decision-making and reimbursement policies
  • Minimum of 1 year of experience working in an Undergraduate/Graduate teacher preparation program compliant with NYSED Certification requirements.
  • Experience working with diverse student populations

Function 1: Student Teaching Program Administration and Placement Coordination

Coordinate student teaching placements for undergraduate and graduate candidates; evaluate

placement requests, eligibility requirements, deferrals, appeals, and exceptions; apply program,

district, and accreditation requirements to placement decisions; collaborate with faculty, students,

and school partners to facilitate field experiences.

Percentage Of Time 30% Job Duty/Responsibility

Function 2: Programmatic and Professional Communication

Serve as a primary resource for students, faculty, supervisors, cooperating teachers, district

administrators, and educational partners; interpret policies, procedures, and placement

requirements; facilitate communication among school partners to support program operations and

resolve concerns.

Function 3: Program Compliance and Certification Requirements

Maintain and organize documentation supporting student teaching eligibility and certification

requirements, ensuring records are current and aligned with SUNY, NYSED, and accreditation

standards; monitor compliance-related documentation and flag missing or incomplete items for

follow-up; participate in appeals committee meetings in coordination with the Director of Academic

Support and Certification to support review of eligibility-related cases and documentation outcomes.

Function 4: Data Collection, Systems Administration, and Technical Support

Maintain program data within Taskstream (or other) and related databases; troubleshoot complex

system issues affecting students, supervisors, and cooperating teachers as they interact with the

system; develop reports and spreadsheets to support program assessment and decision-making.

Collaborate with the Director of Assessment and Accreditation to ensure necessary data is available.

Function 5: Financial Administration and Personnel Document Support

Monitor and process student teaching SBTE stipend payments, W-9 documentation, quarterly UBTE

mileage reimbursements; complete adjunct supervisor GER contracts and participate in onboarding activities; review financial records for compliance with university policies and procedures; support budget monitoring and reporting activities.

Function 6: Support for Program Evaluation and Operational Improvement

Collect, enter, and maintain internal program data related to placements, evaluations, and field

experiences; organize and update records to ensure accuracy and completeness; generate basic

reports and summaries from existing data to support program tracking and reporting needs; assist

with identifying data inconsistencies and support routine improvements to record-keeping processes.
