Description

Grays Harbor College is now accepting applications for a Program Assistant - Community Education/Youth Summer Camps. This temporary, part-time Program Assistant position supports the planning, promotion, implementation, and evaluation of Community and Continuing Education youth summer camps. Working closely with the Program Manager for Community and Continuing Education, this position assists with program development, outreach and recruitment, marketing, registration support, and day-to-day camp operations. The Program Assistant serves as a primary point of contact for students and families and helps ensure a positive, safe, and organized experience for all participants.

During camp operations, the Summer Camp Program Assistant serves as the site coordinator for assigned camps, supporting instructors, assisting participants and families, and helping ensure that camps operate smoothly and safely. Hours per week will vary throughout the year, with additional hours required during camp operations. In addition to summer camp responsibilities, this position may provide administrative and operational support for Community and Continuing Education programs, events, and special projects as workload and program needs allow.

This is a part-time, non-permanent position and not eligible for benefits. Sick leave is accrued at a rate of one hour per 40 hours worked. Please NOTE: According to Washington State Administrative Code (WAC) 357-04-045, if you have held a part-time temporary position, after July 1, 2022 within Grays Harbor College, you will not qualify for the position and cannot be considered.

Essential Duties and Responsibilities

Program Development and Outreach

  • Assist with the development and organization of youth summer camp offerings, schedules, materials, and logistics
  • Research community interests, potential instructors, and program ideas
  • Support recruitment efforts by conducting outreach to schools, youth-serving organizations, and community partners
  • Represent Community and Continuing Education at school visits, community events, and tabling opportunities

Marketing and Communications

  • Assist with creating, printing, and distributing marketing materials, flyers, and promotional content
  • Support social media, website, email, and community outreach efforts
  • Respond to inquiries from students, parents, schools, instructors, and community members
  • Communicate program information, registration procedures, schedules, and updates to participants and families
  • Maintain contact lists and assist with promotional campaigns

Camp Operations and Student Support

  • Serve as site coordinator during assigned camps and youth programs
  • Act as the primary point of contact for operational issues, participant concerns, and routine questions during camp sessions
  • Coordinate participant check-in and check-out procedures
  • Maintain attendance records and participant documentation
  • Support instructors with classroom, activity, technology, and supply needs
  • Communicate with parents and guardians regarding schedules, program updates, and participant needs
  • Assist with emergency communications and help implement safety procedures
  • Monitor program activities and identify issues requiring staff attention
  • Assist with classroom set-up, clean-up, and preparation of instructional materials and supplies
  • Help create a welcoming, inclusive, and positive learning environment for all participants

Program Administration

  • Organize, maintain, and update program records, files, and participant information
  • Prepare reports, rosters, forms, evaluations, and other program documents
  • Assist with registration processes, data entry, and recordkeeping
  • Track supplies, materials, and inventory for camps and other CE programs
  • Support instructor onboarding and document management processes
  • Create requisitions and assist with purchasing processes
  • Communicate regularly using GHC email, Microsoft Teams, CampusCE, and other college systems
  • Assist with Community and Continuing Education events, projects, and program operations throughout the year as assigned
  • Maintain confidentiality and comply with FERPA requirements

Required Qualifications

  • High School diploma or equivalent
  • Valid driver's license and ability to travel to schools, community events, and program locations
  • Strong customer service and interpersonal skills
  • Ability to communicate effectively with youth, families, instructors, and community partners
  • Basic proficiency with Microsoft Office, email, and online systems
  • Ability to organize multiple projects and meet deadlines with minimal supervision
  • Ability to work additional hours during camp operations

Preferred/Desired Qualifications

  • Associate degree or coursework in education, recreation, communications, marketing, human services, or a related field
  • Experience working with youth programs, camps, educational programs, or community organizations
  • Experience in outreach, recruitment, event coordination, customer service, or program support
  • Experience creating marketing materials using Canva or similar software
  • Experience representing an organization at public events
  • Experience using databases, registration systems, or record-management systems
  • Current First Aid/CPR certification or willingness to obtain certification
  • Knowledge of Grays Harbor County communities, schools, and youth-serving organizations
