What You'll Do:
Under direct supervision, the Program Assistant provides integrated support for library services, administrative operations, and program activities. Serves as a point of contact for library patrons while coordinating back-office functions, technology support, communications, procurement, and event logistics. Collaborate with the library departments to ensure efficient operations and excellent customer service. Responsible traditionally assigned to both library service and administrative support functions, requiring a broad knowledge of library operations, customer service practices, technology resources, and office administration

 

  • Administrative and Operational Support
    • Generate correspondence, reports, spreadsheets, and other documents to support library operations, programs, and initiatives.
    • Organize, maintain, and update departmental files, records, databases, and web content.
    • Coordinate all incoming and outgoing mail and package processing.
    • Order, receive, and maintain office and library supplies.
    • Monitor designated budgets, track expenditures, process purchases, and assist with procurement activities.
    • Prepare financial documentation and maintain purchasing records.

  • Library Services and Patron Support
    • Provide excellent customer service to students, faculty, staff, and community members by assisting with access to library resources and services.
    • Communicate, explain, and interpret library policies, procedures, and services.
    • Answer telephone calls, email inquiries, and in-person requests; resolve issues and make appropriate referrals when necessary.
    • Process circulation transactions, including checkouts, returns, renewals, recalls, holds, and fines.
    • Reconcile patron library accounts and resolve account discrepancies.
    • Assist patrons with locating, accessing, and circulating library materials.
    • Coordinate document delivery and interlibrary loan activities in collaboration with the Senior Library Assistant, including borrowing and lending requests.
    • Process reserve reading lists and course reserve materials.
    • Verify and maintain bibliographic information and records.

  • Technology and Resource Management
    • Maintain oversight of library technology inventory and prepare regular inventory reports.
    • Provide first-level troubleshooting for computers, library equipment, software, and online resources.
    • Coordinate technical issue resolution and serve as liaison with Information Technology staff.
    • Assist with maintaining technology-related records and equipment tracking.

  • Communications and Outreach
    • Assist with the creation, editing, and distribution of newsletters, flyers, promotional materials, and other communications.
    • Update library website content and support social media communications.
    • Promote library services, programs, and events through a variety of communication channels.

  • Programs, Events, and Project Support
    • Coordinate logistical arrangements for meetings, workshops, book talks, instructional sessions, and special events.
    • Arrange room setups, audiovisual equipment, materials, and other event requirements.
    • Participate in library projects and departmental initiatives.
    • Assist with training, mentoring, and providing guidance to student employees.
    • Other duties as assigned
What We're Looking For:
Basic Requirements:
Knowledge and experience typically acquired by:
  • High School Diploma /GED
  • 0-2 years of experience
  • Knowledge of Microsoft Office Suite
  • Good organizational and customer service skills

Preferred Qualifications:
  • Bachelor's Degree
  • 3-5 years of library support experience
  • Advanced knowledge of Microsoft Office Suite
  • Problem solving skills
  • Knowledge and experience with library management systems and technologies and resource management functions
  • Strong organizational, interpersonal and customer service skills; accuracy and attention to detail
Salary Range: Minimum $25.20, Midpoint $30.10, Maximum $34.90
