The Program Assistant II oversees and maintains the flow of paperwork and information within and from one department to another, and maintains the smooth functioning of basic office procedures. In addition, provides assistance to the public in areas relating to the assigned department, and maintains a working rapport with organizations/companies that the department works with and state and federal agencies for reporting purposes.
1. Provide office systems support.
· Receive incoming phone inquiries, appropriately direct calls, and answer routine questions.
· Schedules appointments in accordance with established schedules and guidelines.
· Maintain department supply inventory.
· Maintain and reconcile the department’s petty cash fund when assigned.
· Prepare a variety of correspondence, contracts, forms, calendars, training materials, and reports, using Word and Excel programs, utilizing word processing equipment.
· Process incoming and outgoing mail.
· Photocopy materials and perform basic maintenance on machines.
· File documents in accordance with established filing systems.
· Provide support to the Program staff by preparing correspondence and arranging meetings.
2. Assist clients and the public with preliminary program information when appropriate.
· Review the application process and provide service information.
· Schedule follow-up appointments in accordance with established schedules and guidelines.
· Establish and monitor calendars.
3. Maintain records and reports that may require specialized accounting techniques.
· Close out client files after they have been completed and approved.
· Complete the close-out of programmatic functions within the department as required.
· Audit bills and prepare disbursement vouchers when applicable.
· Compile data and complete accurate monthly reports for submission to the Finance Department of the agency, and for the State.
· Coordinate training activities calendars.
· Maintain client files.
· Maintain other data as assigned and required by the program.
· Enter and update client information accurately on the state website.
· Input and maintain records in the Access database.
· Input and maintain records in the Paradox database.
· Schedule client appointments using Outlook.
· File registry forms.
· Assist in preparing, running, and distributing reports as needed.
· Collaborate with IT to improve data systems and workflows.
· Excellent attention to detail and organizational skills.
4. Other duties as deemed necessary for the delivery of a program.
