Posting Summary

Rutgers School of Nursing located in New Brunswick, NJ is seeking a Program Assistant for its Division of Simulation and Clinical Learning. The Program Assistant provides general support by maintaining databases of all required clinical placement logistics. Assists with the administrative and office management activities associated with clinical placements, student clinical requirements, and clinical/student tracking databases. The incumbent typically works at a high degree of independence and uses initiative to carry out regular assignments in accordance with established policies and procedures.

Duties include:
  • Provides for the daily management of the clinical databases
    • Assists with all new student and faculty entries in the appropriate databases.
    • Assists in onboarding all new nursing students into clinical software.
    • Collaborate with administrators and faculty in scheduling orientation sessions for clinical system training.
    • Maintains and updates existing student accounts with clinical placements information.
    • Updates and maintains accurate clinical placement, clinical site contact information, and clinical faculty information in the appropriate databases..
  • Collaborates with clinical operations team in updating semester schedules accurately and timely.
    • Assists with dissemination and tracking status of clinical placement requests
    • Maintains the most up-to-date scheduling information
  • Assists with adjunct faculty hiring process.
    • Enters part-time faculty appointments into payroll in collaboration with clinical operations team
    • Maintains adjunct faculty database and their respective employment requirements

Required Knowledge, Skills, and Abilities
  • Bachelor's Degree in a related field
  • A minimum of one (1) year of professional-level experience required.
  • Equivalent experience, education, and/or training may be substituted for the degree requirement.
  • Advanced knowledge of office and administrative practices and principles, knowledge of standard office equipment/programs and excellent written, verbal, and communication skills with a diverse population.
  • Must have strong organizational skills and the ability to pay careful attention to details and work in a fast-paced, team environment.
  • The ability to exercise discretion and ensure a high-level of confidentiality and the ability to establish and maintain effective and harmonious work relationships with faculty, staff, students, and the general public are essential.
  • Must have professional experience in an administrative and/or support services function and literacy in the Microsoft Office Suite.
