Program Assistant

Under general supervision of the Program Coordinator, the Program Assistant is responsible for providing assistance and support in the supervision of recreation programs, operations, and facilities of the Youth Center.

Essential functions include:

  • Assisting Program Coordinators with planning, developing, and organizing Youth Center programs and special events.
  • Implementing specific recreation activities such as dances, luncheons, tournaments, games, and sporting events; planning event activities.
  • Preparing promotional materials for scheduled events, including brochures, posters, advertisements, and flyers.
  • Assisting in monitoring the daily operations and activities of the Youth Center; ensuring rules and procedures are followed by patrons.
  • Assisting with programming and/or conducting activities and special events as required.
  • Preparing equipment, fields, and facilities for assigned activities.
  • Implementing prescribed or impromptu recreation activities.
  • Maintaining inventory of supplies and equipment.
  • Assisting with registering participants in classes and sports programs and booking facilities for events; collecting and processing fees; maintaining files and records of transactions and schedules.
  • Providing assistance to facility patrons and the general public; answering questions regarding facility usage and program, activity, and event specifics.
  • Responding to requests for human services needs and referring patrons to appropriate resources.
  • Evaluating assigned programs, activities, and special events; making recommendations for improvements and new programs and services.
  • Providing lead supervision to Recreation Leaders and volunteers; training new employees on work procedures.
  • Performing a wide variety of administrative, secretarial, and support activities for the Youth Center.
  • Meeting and greeting the public.
  • Performing other related duties as assigned or required.

Knowledge, skills, and abilities include:

  • Knowledge of basic objectives, methods, and techniques of assigned recreation program area.
  • Knowledge of policies, procedures, and regulations pertaining to area of assignment.
  • Knowledge of principles and practices of workplace safety, including CPR and first aid.
  • Ability to operate modern office equipment including a computer and related business software.
  • Proven ability to plan, implement, and instruct activities of assigned program.
  • Ability to establish and maintain courteous, cooperative, and effective working relationships with staff, the general public, and others encountered in the course of work.
  • Ability to communicate clearly and effectively, both orally and in writing.
  • Ability to understand and carry out oral and written instructions.
  • Ability to perform simple mathematical calculations.
  • Ability to evaluate situations, identify problems, and exercise sound independent judgment within established guidelines.
  • Ability to maintain professionalism and handle disputes and/or complaints in a calm, courteous, and tactful manner.
  • Ability to effectively handle multiple priorities and organize workload.
  • Ability to work independently and efficiently with a minimum amount of direct supervision.
  • Must possess exceptional customer service skills.
  • Must be detail oriented.
  • Must be a pro-active, self-starter.
  • Must be available to work flexible hours based on program needs, including but not limited to evenings and weekends.

Minimum qualifications:

  • High School diploma or GED; and
  • Minimum of one (1) year experience directly related to the duties and responsibilities specified.
  • Prior Recreation/Youth Center experience preferred.

Tools and equipment used:

  • Telephone, computer, copy machine, fax machine, 10-key calculator, sports equipment.

Work environment:

  • The work associated with this position is primarily performed in a typical office environment within the Youth Center.
  • The employee is occasionally required to work in outdoor settings.
  • The noise level within the Center can be extremely loud at times.
  • The noise level in outdoor settings is moderately noisy to noisy.

Physical requirements:

  • While performing the duties of this job the employee is frequently required to sit; talk and/or hear; use hands to operate, handle or feel.
  • The employee is occasionally required to walk; climb; stoop/crouch and kneel; bend and twist; reach with arms and hands; push/pull.
  • Specific vision abilities required by this job include close vision and the ability to adjust focus.
  • The employee is frequently required to lift, move and/or carry up to 25 pounds and is occasionally lift, move and/or carry up to 50 pounds.
