The Program Coordinator provides essential coordination and administrative support for the Counseling and Behavioral Science (CBS) Division, with a focus on the Behavioral Sciences program, helping ensure consistent, responsive, and student-centered day-to-day operations. This role manages communications, documentation, data tracking, and compliance processes with a focus on clarity, accessibility, and respect, while supporting the diverse needs of students and faculty. The coordinator also assists with budgeting, purchasing, and the organization of meetings and events, maintaining organized and reliable records and workflows. Serving as a trusted liaison, the position approaches problem-solving with care and collaboration, promoting alignment with college policies and a supportive, inclusive environment. Through these efforts, the role advances student success, program effectiveness, and the continued growth of Behavioral Science programs, including degrees and certificates.
Essential Functions
20% Operations Coordination: Coordinate day-to-day operations for the Counseling and Behavioral Science (CBS) Division, with a primary focus on the Behavioral Sciences program, including responding to inquiries, troubleshooting issues, supporting students and faculty, and helping ensure that division and program activities run smoothly in alignment with established policies and procedures.
20% Records & Documentation Management: Prepare, maintain, and organize division and program records, reports, forms, correspondence, presentations, procedural documents, and related materials; manage documentation and record-keeping systems to support accurate, timely, and consistent operations.
20% Communication & Scheduling: Support communication, scheduling, and workflow coordination across the division, including calendars, meetings, events, timelines, and follow-up activities that support faculty, staff, students, and community or college partners.
20% Administrative & Transactional Support: Perform administrative and transactional support functions related to division and program operations, including processing forms, paperwork, system data, purchasing, budget tracking, supply coordination, and other assigned office support activities.
10% Data & Reporting Support: Gather, compile, track, and review data and information to support reporting, assessment, compliance, accreditation-related needs, and continuous improvement for Behavioral Sciences programs, including degrees and certificates.
10% Stakeholder Liaison & Program Support: Serve as a liaison for students, faculty, staff, and stakeholders by providing clear program and division information, assisting with implementation of procedures, supporting onboarding or training activities, and helping monitor compliance with college requirements.
