Job Summary

Coordinate the operation of an assigned university academic or clinical program or office.

Grant Funded Position

This is a grant funded position; therefore, the university will incur no salary obligation beyond funding derived from this source. This position will continue as long as adequate funds are available.

Based on the recent Proclamation: Restriction on Entry of Certain Nonimmigrant Workers (H-1B), VSU will not be sponsoring any new H-1B visa petitions until further notice.

Department Summary

The Valdosta State University High School Equivalency Program (HEP) is a federally funded grant program that supports eligible adult learners, particularly those from migrant and seasonal farmworker backgrounds, in earning their high school equivalency credential and transitioning to postsecondary education, training, or employment. The program provides academic instruction, advising, and support services designed to promote persistence, completion, and successful outcomes, while maintaining compliance with federal guidelines through ongoing data collection, reporting, and program evaluation.

Typical Allocation of Duties:

Coordinate operations to accomplish program/office objectives - 40%

Develop policies, procedures, and processes to ensure the efficient accomplishment of program/office objectives. Direct office/program operations.

Coordinate with others - 20%

Coordinate program/office activities with appropriate internal and external stakeholders. Represent program priorities before the larger university community.

Manage budget and personnel - 20%

Manage budget and control expenditures as assigned. Train, assign, direct, supervise, evaluate, and discipline personnel as assigned.

Reporting - 10%

Prepare a variety of regular and special reports. Maintain program/office files and records.

Provide services - 10%

Participate in the provision of direct services.

Supervisor Expectations:

• Supervise, support, and evaluate a team of approximately five staff, fostering a collaborative, student-centered environment and ensuring high performance.
• Develop, monitor, and manage program budgets in alignment with grant guidelines and institutional policies.
• Lead the planning, implementation, and continuous improvement of program services to meet grant goals and participant needs.
• Maintain full compliance with all federal, state, and institutional regulations, including audits, reporting, and documentation requirements.
• Ensure accurate and timely data collection, recordkeeping, and reporting; monitor staff compliance with documentation standards.
• Ensure alignment of all program activities with recruitment, retention, completion, and placement goals; assess progress and implement improvements.
• Build partnerships and represent the program in the community to support recruitment and program visibility.
• Act as the primary advocate and spokesperson for the program within the university and broader community.
• Effectively engage and support adult learners from migrant and farmworker backgrounds
• Communicate clearly in English and/or Spanish, demonstrate strong organizational and time management skills, and take initiative to address challenges and ensure program success.

Required Qualifications

Required Experience

Masters degree in clinical or program field and three (3) years of related work experience.
