Job Responsibilities

Responsibilities

  • You will plan, organize and direct the administrative staff, support activities, and daily application processes for the Boards of Dentistry and Veterinarian.
  • You will supervise the processing of applications and approvals for initial licensing, renewals, reinstatements, and examinations, utilizing applicable databases and systems.
  • You will track and perform reviews of post-disciplinary processes to ensure compliance and assist with compliance monitoring and record keeping.
  • You will perform technical and specialized professional and administrative duties related to the business functions of the boards, such as travel documents, purchasing supplies, and reconciliation of funds.
  • You will coordinate the preparation and/or provide administrative support for board meetings, including scheduling meetings, posting updates, setting up the room, posting public notices, arranging for court reporters, and preparing all meeting materials.
  • You will train, supervise and lead staff who conduct daily operations for the Boards.
  • You will perform other functions as assigned including weekly monitoring the website content for assigned boards, assisting with research requests, FOIA responses, transcribing board meeting minutes, answering questions related to the registration or license processes, and roster requests.

Minimum and Additional Requirements

Minimum Qualifications

  • A high school diploma and relevant program experience.

Preferred Qualifications

  • Knowledge of principles, policies and practices of office management and relevant laws, regulations, policies, processes and organizational functions.
  • Ability to work effectively with staff, applicants, licensees and the public in disseminating and obtaining information.
  • Provides quality customer service and communicates effectively both orally and in writing.
  • Extensive knowledge of grammatical rules, spelling, language usage, and business formats.
  • Ability to exercise judgment and discretion in interpreting and applying policies and procedures with licensees to include non-routine situations.
  • Ability to problem-solve, train and supervise licensing staff.
  • Computer database, word processing and spreadsheet skills necessary.

Other Requirements

  • Position works in an office environment with extended periods of sitting and standing.
  • May require occasional work outside of normal office hours.
  • May be required to lift, carry, move and/or position objects weighing between 20 to 30 lbs.
  • Ability to squat to file in lower drawers and reach files in upper drawers.
  • Daily filing, data entry, telephone and computer use.
