Job Description

The Program Coordinator is responsible for assisting the Department Leader with daily department administrative functions. The Program Coordinator is required to be proactive in the development of business practices and plans that improve operations and cost effectiveness, may assist other management personnel in the department as well as be responsible for payroll and department records. Must have the ability to communicate effectively to all levels of the organization, and work collaboratively with associates, physicians, vendors, and external customers to promote a positive environment.Minimum Required: High School Diploma or GED. Preferred: Associate's Degree.

Preferred: 3 - 5 Years equivalent experience

Required Skills and Knowledge:

Takes initiative on tasks with minimal supervision; self-starter.

Excellent interpersonal communications skills both written and verbal required.

Excellent computer skills with Microsoft Software packages, including Word, Excel and database management.

Time management skills and ability to handle multiple tasks in a demanding environment are essential.

Ability to interact with all associates, physicians, vendors, and customers.

  • Provide administrative and clerical support to Business Leaders and Medical Doctors.
  • Support scheduling and coordination of clinics, educational sessions, conferences, or special events.
  • Maintains calendars, schedules meetings and sends notices to staff involved.
  • Types agendas and minutes; composes and/or drafts various documents and brochures as needed.
  • Maintains and updates department manuals, rosters, list of resources and other information.
  • Orders supplies and purchases within budget; processes invoices.
  • Assist with copies, faxing and mail distribution.
  • Organizes and maintains files on an on-going basis.
  • Prepares documents and reports requested by Manager, Physicians
  • Assist in updating department policies/procedures; ensure all policy books are updated with current policies; assist with interpretation and implementation of policies/procedures.
  • Assist with maintaining in-patient/consult schedule in QGenda
  • Act as a backup for duties related to GME Program Coordinator
  • Assist with Grand rounds on regular basis
  • Perform other related administrative responsibilities as assigned to support departmental operations and leadership needs.
  • Process travel and reimbursement requests in concur
  • Track PTO and clinic cancellations for doctors
  • Maintain tracking systems for medical, DEA, and other required licensure; notify physicians of upcoming renewal deadlines and assist with documentation as needed.
  • Monitor physician Professional Development Accounts (PDA) and prepare quarterly financial summaries.

Customer Service:

  • Promotes a positive customer service attitude in all interactions.
  • Screens telephone call/walk-ins and serves as liaison for requests for assistance or information from staff, community agencies and others, offering assistance and/or enlisting the help of others.
  • Greets customers, vendors, physicians and co-workers in an appropriate manner at all times.
  • Identifies staff complaints/concerns, gathers necessary information, and refers manager for follow-up.
