General Summary

The International Student Programs (ISP) Program Coordinator provides comprehensive administrative and front desk support to the ISP office at Highline College. As the primary point of contact for all in-person and virtual office interactions, this position plays a vital role in creating a welcoming, efficient, and professional environment for students, staff, faculty, agents, and visitors. The coordinator ensures the smooth daily operation of the front desk, supports logistics and communications for ISP activities

This is a full-time, classified position, which is eligible for overtime.

Schedule: Mon - Fri 8am - 5pm

The College has a summer work schedule (four 10-hour days, Monday through Thursday, typically starting in July).

Salary Information: The salary range stated above reflects the starting step of Range 41 (Step C) and ending step (Step M) salary for this classified position. Based on salary placement of Step C, it will take 5 years to reach Step L on the salary schedule, and 11 years to reach Step M. This does not reflect any contractual changes, legislative mandated salary increases or Cost of Living Increases (COLAs) that may be approved in the future.

Essential Tasks

Reporting to the Fiscal Program Manager, of International Student Programs, this postilion will:

Front Desk & Communication Support:

  • Serve as the first point of contact for student, employees, and visitors;
  • Welcoming and greeting students, potential students, and guests (both in-person, online, and via phone) to determine their needs and directing them to appropriate staff, as necessary;
  • Effectively and efficiently manage ISP front desk to ensure seamless administrative operations;
  • Monitor and manage the ISP general email inbox; respond to inquiries or direct to appropriate staff;
  • Provide accurate and timely information about ISP office procedures and services, and when appropriate, direct students to appropriate resources and staff members within the ISP office;
  • Schedule appointments and assist with calendar logistics for ISP staff when needed.

Administrative & Operational Responsibilities:

  • Oversee day-to-day office operations, including ordering and restocking supplies, tracking office inventory preparing shipments, and coordinating mail distribution;
  • Maintain a clean, organized, and functional front desk and common office area;
  • Assist with filing, scanning, and organizing physical and digital records;
  • Coordinate office scheduling, facilities request, and other administrative functions to support program operations;
  • Assist, implement, and coordinate front desk and office improvement projects, including the creation and maintenance of Standard Operating Procedures (SOPs), to enhance operational efficiency, customer service, and student support;
  • Support basic data entry and spreadsheet maintenance for administrative tracking;
  • Prepare, record, and maintain weekly staff meeting notes;
  • Prepare and process Highline College business documents (including requisitions, vouchers, etc);
  • Assist in the creation of simple informational materials (e.g., flyers, posters, signage);
  • Support office-wide communications and announcements by preparing visual content for events or outreach;
  • Assist and provide logistical support for orientations, workshops, and other ISP events, including scholarships and year-end ceremonies.

Supervision & Team Collaboration:

  • Supervise 1-2 student workers to ensure consistent front desk coverage and task completion;
  • Support onboarding and cross-training of new student workers;
  • Collaborate closely with other ISP staff, including recruitment, advising, fiscal, and admissions team members;
  • Perform other duties as assigned by the Fiscal Program Manager of International Student Programs to support the goals of the ISP office.

Ability to:

  • Communicate effectively (verbal and written);
  • Work independently and in a team environment;
  • Use Google Workspace, and Canva;
  • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint, with the ability to manage data, create reports, and maintain records;
  • Be proactive, organized, and detail-oriented with strong communication and exercise time management skills.

Working Conditions:

  • This position is based on-site at the International Student Programs office;
  • Occasional support during evening or weekend events may be required with advanced notice.

Qualifications

Minimum:

  • High School completion or equivalent; AND
  • Two years of full-time administrative experience with an emphasis on program coordination, data management or customer service;

OR

  • Equivalent education/experience.

Desired:

  • Bilingual or multilingual skills are a plus but not required;
  • Associate degree from an accredited college or university;
  • Experience working in higher education or a culturally diverse environment preferred.
