The Role:

This positions primary responsibility is to coordinate marketing, media and program efforts and organize procedural and administrative operations within the Office of Health Promotion at Central Washington University. There is extensive involvement with students, staff and the public that involves scheduling, coordination of events and monitoring program activities to determine consistency with program goals. Additionally, administrative support is provided to the Director and health promotion initiatives at CWU. The position will serve as the first point of contact for health literacy to CWU students. There is fiscal and accounting support in the form of monthly reconciliation, budget tracking support, and processing travel requests.

Job Duties

Communication & Program Coordination:

  • Compile and distribute information for Health & Wellness Unit activities and priorities, confer with other campus departments and outside agencies.
  • Coordinate planning and production of actions and events that promote general health and wellbeing-including but not limited to design of marketing campaigns within Health and Wellness.
  • Develop, direct and/or edit original written content for multiple platforms including print publications, websites, social media and event promotions.
  • Work with other department staff to develop and deliver video and new media content.
  • Manage and supervise work related to health and wellbeing social media accounts; control access, design posting schedules.
  • Coordinate the maintenance of department web pages.
  • Review and edit print and electronic materials for accessibility and relatability.
  • Serve as resource person, including secretarial support, for campus committees concerned with program operations.
  • Prepare narrative and/or statistical reports regarding program operations.
  • Provide information and advice to students, staff, program participants and/or the public policies and activities; promote the Department and Unit on campus and with outside organizations.
  • May make public presentations related to general Health and Wellness initiatives and services.
  • Serve as point of contact with University Relations, Publicity, Web Services and Public Affairs as it relates to collaboration and adherence to CWU brand standards policies.

Office and Fiscal Support:

  • Process departmental transactions; apply departmental/university policies and procedures as they relate to areas such as payroll, travel, fiscal operations, financial/human resource systems, etc.
  • Maintain, monitor, and reconcile budget and fiscal records; recognize inconsistencies; initiate budget transfers; inform supervisor of status.
  • Assist staff by making travel arrangements, developing itineraries, processing expenses.
  • Under direction of supervisor, orders, receives and maintains inventory.
  • Attend meetings and/or conferences as program liaison.
  • Ensure that supervisor and staff are fully briefed before scheduled meetings on matters to be considered.
  • Use word processing, graphics, statistical, spreadsheet and/or database software.
  • Perform complex scheduling including independently prioritizing needs of unit communication plans and program clients.
  • Establish and maintain records and files, record statistical information.

Supervision:

  • Direct the work of student workers.
  • Ensure student workers have necessary resources.
  • Actively engage in recruitment and hiring new student employees.
  • Assist with defining performance expectations, accountability and providing informal feedback.
  • Oversee and lead the student workers; serve as mentor, coach, and leader to resolve complaints and issues.
  • Promote professional development opportunities.
  • Develop and foster supportive working relationships, motivation and engagement.
  • Communicate information to staff on an ongoing basis to influence staff engagement and to be a part of a larger community.
  • Recognize and reward student employees for good performance.
  • Schedule student employees¿ hours/shifts.
  • Recognize value of and promote a diverse workforce. Value and encourage diverse perspectives, creativity, and teamwork.

Assessment and Reporting:

  • Evaluate, develop, and adjust or implement marketing processes and procedures to support department goals.
  • Track and assess effectiveness of marketing strategies and content delivery.
  • Prepare quarterly and annual program and fiscal reports.
  • Prepare and present reports, recommendations, and new program initiatives.
  • Along with supervisor, develop and administer assessment tools that support department goals.
  • Review procedural and process documents; recommend updates for efficiency modernization and effectiveness.
  • Prepare narrative and/or statistical reports regarding program operations.
  • Perform other duties as assigned.

Minimum Qualifications

  • Experience or training that demonstrates the ability to use Outlook, Word, Excel, e-mail, and/or similar software applications to produce written correspondence, create and maintain spreadsheets, receive, and respond to e-mail inquiries, tasks, etc.
  • Work regularly with representatives of on and off-campus organizations and agencies regarding the interpretation and implementation of program and institutional policies.
  • Attend meetings and/or conferences as program representative.
  • Provide information and advice to students, staff, program participants and/or the public regarding program content, policies, and activities.
  • Excellent communication, interpersonal and organizational skills and ability to produce work products that are accurate, of quality and meet deadlines.
  • Demonstrated willingness and/or experience working with students and/or coworkers from a wide range of abilities, backgrounds and experiences.
  • Demonstrated ability and/or experience working collaboratively with students and/or colleagues to foster a supportive and effective learning and work environment.
  • OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position.

Preferred Qualifications

  • Two years of experience in health promotion, wellness, or related field.
  • Substantive knowledge of a variety of regulations, rules, policies, procedures, processes and materials relevant to the position.
  • Demonstrated experience planning and/or leading communication, marketing or promotional efforts for a unit or department.
  • Experience with financial, human resources and/or student data systems such as PeopleSoft and/or other systems.
  • Fiscal experience, training and/or education that demonstrates the ability to monitor and reconcile budgets, budgeting, payroll, travel, purchasing, compiling and interpreting fiscal data and providing related reports.
  • Experience in higher education.
  • Experience designing social media campaigns and increasing engagement with customers/clients.
  • Experience or training in web page maintenance.
  • Demonstrated participation in programs designed to promote student success.
  • Ability to incorporate a variety of perspectives and relevant societal issues into everyday conversations.
  • Life experiences that demonstrate an ability to contribute to CWUs vision, mission, and values.

Pay, Benefits, & Work Schedule

Salary: This position is based on the range 41 of the Washington State Classification Listing, which has a minimum monthly salary of $3,665 and maximum monthly salary of $4,882. In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidates current experience, education, skills, and abilities related to the position.

Schedule/Appointment: Monday - Friday, 8:00am-5:00pm (1 hour lunch) / 11-month cyclic (for more detailed information regarding cyclic appointments click link: CWU Cyclic Leave)

Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer workstation for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required.
