Job Title: Program Management Coordinator
Objective: The Program Management Administrator provides administrative and operational support to Program Managers and cross-functional teams to ensure programs are executed efficiently, on schedule, and in alignment with customer and company requirements. This role plays a critical part in coordinating documentation, tracking program metrics, facilitating communication, and supporting compliance requirements throughout the program lifecycle.

Essential Duties and Responsibilities
Provide administrative support to Program Managers across multiple programs or projects
Maintain program schedules, action item logs, risk registers, and meeting minutes
Coordinate internal and customer meetings, including agenda preparation and follow-up
Track program deliverables, milestones, and due dates; escalate issues as needed
Prepare and maintain program documentation, presentations, and status reports
Serve as a liaison between Program Management and internal departments (Engineering, Manufacturing, Quality, Supply Chain, Finance)
Maintain access to customer portals and input POs and download customer engineering as needed
Support customer communication by organizing correspondence, data requests, and reporting
Assist with change management activities, including tracking scope, schedule, and cost impacts
Ensure program documentation is controlled and compliant with internal procedures and customer requirements
Support audits, reviews, and customer or regulatory reporting as required
Maintain data accuracy in ERP, MRP, or project management systems
Required Skills and Qualifications
Strong organizational and time-management skills with attention to detail
Excellent written, verbal, and interpersonal communication skills
Ability to manage multiple priorities in a fast-paced environment
Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook)
Experience working with ERP/MRP or project management tools
Ability to work independently and collaboratively across teams
Strong problem-solving and follow-up skills
Preferred Qualifications
Associates or Bachelors degree in Business, Project Management, or a related field
Experience in manufacturing, aerospace, or a regulated environment
Familiarity with program or project management methodologies
Knowledge of AS9100, ISO, or customer-specific compliance requirements
Experience supporting customer-facing programs
