Job Overview

The Georgetown-Howard Center for Medical Humanities and Health Justice seeks an effective, detail-oriented Program Manager to provide comprehensive administrative and operational support for this innovative joint venture between Georgetown and Howard Universities. This position requires exceptional organizational skills, the ability to manage multiple tasks simultaneously, and strong coordination capabilities across two university systems.

The Program Manager will handle all aspects of grants administration, budget management and tracking, administration for the Center's Earthseed grants program, event coordination, operational support for the DC Health Histories project, and cross-institutional logistics. The Program Manager serves as the administrative liaison to the sponsor, including coordinating Foundation reporting deadlines and deliverables.

This role demands meticulous attention to detail in processing financial transactions, preparing reports, scheduling across multiple calendars and university systems, and ensuring all administrative processes run smoothly. The Program Manager will be responsible for coordinating convenings and events, managing correspondence, preparing materials, and providing logistical support that enables the Center's research and educational activities.

This position requires someone who excels at execution-a self-starter who can take complex directives and implement them efficiently with minimal supervision while maintaining clear communication with leadership. The

SUPERVISORY AUTHORITY:

Program Manager will supervise a Student Events Assistant and coordinate with staff across Georgetown and Howard to ensure seamless operations.

NATURE AND SCOPE:

The Program Manager reports directly to the Co-Executive Directors and serves as the central administrative coordinator for the Center. This position requires extensive interaction with faculty, staff, and administrators at both Georgetown and Howard Universities, navigating different administrative systems, policies, and procedures to ensure smooth cross-institutional operations.

PRINCIPAL ACCOUNTABILITIES

  • Scheduling appointments and coordinating meetings across two university calendars.
  • Handling correspondence and communications.
  • Making travel and accommodation arrangements for visiting scholars and faculty participants.
  • Processing reimbursements and vendor payments through both Georgetown and Howard systems.
  • Tracking monthly budget statements and grant expenditures; preparing financial reports and vouchers and maintaining meticulous records of all Center activities and expenditures.
  • The Program Manager coordinates all event logistics including venue booking, catering, AV setup, preparing invitations, corresponding with speakers and presiders.
  • Preparing background materials for distribution, managing registration systems, and providing comprehensive logistical support for the Center's two major annual convenings and quarterly faculty salons.
  • The position also manages the strategic seed grant program including application intake, review coordination, and budget tracking, and supervises the Student Events Assistant.

EDUCATIONAL REQUIREMENTS:

Baccalaureate degree required. Master's Degree preferred in business administration, nonprofit management, or a related field but not necessary. Strong humanities background preferred but not necessary. 3-5 years of experience in administrative coordination, program management, or operations
