General Summary

Under general supervision of the Director of Outreach and Recruitment, the Program Specialist 2, Outreach & Recruitment is responsible for leading prospective student engagement through strategic use of the institution's Customer Relationship Management (CRM) system, coordinating recruitment communications, and supporting key outreach programs including campus tours, the Info Center, and admission process. This position ensures outreach and recruitment efforts are data-informed, student-centered, and aligned with institutional goals.

The Program Specialist collaborates closely with the Outreach Program Coordinator, Director and campus departments to maintain accurate referral information and keep the outreach team updated on current programs and services. The position also plays a key role in monitoring recruitment performance and fostering high-quality experience for prospective students.

This position is a classified full-time position, which is eligible for overtime. Schedule: Mon-Fri 8 a.m. to 5 p.m.

Salary Information: The salary range stated above reflects the starting step of Range 42 (Step C) and ending step (Step M) salary for this classified position and includes a 5% King County compensation provision. Based on salary placement of Step C, it will take 5 years to reach Step L on the salary schedule, 11 years to reach step M on the salary schedule. This does not reflect any contractual changes, legislative mandated salary increases or Cost of Living Increases (COLAs) that may be approved in the future.

Essential Tasks

Reporting to the Director of Outreach and Recruitment, this position will:

CRM Management & Data Utilization

  • Manage day-to-day operations within the CRM system related to prospective student and applicant data;
  • Monitor the recruitment and application pipeline; generate and share actionable reports with the Outreach & Recruitment team;
  • Develop, implement, and evaluate targeted recruitment campaigns using CRM insights and program-specific data;
  • Serve as the CRM point of contact and provide training or technical support to team members as needed.

Outreach & Recruitment

  • Lead the campus tours program, working closely with the Outreach Program Coordinator to manage scheduling, staffing, ambassador training, and promotional efforts;
  • Provide guidance and technical assistance to prospective students, families, and community partners regarding admissions processes and services;
  • Collaborate with the Program Coordinator to support the Info Center, ensuring materials and referral manuals are accurate, up to date, and aligned with tours and outreach messaging;
  • Coordinate with Marketing and enrollment services (entry and admissions) to ensure consistent communication and enhance the visitor experience across all touchpoints;
  • Maintain strong relationships with campus departments to gather, organize, and share timely updates about programs, services, and referral processes with the outreach team.
  • Collaborate with the Director on building and updating a referral manual for outreach efforts and the Info Center.

Program Monitoring & Evaluation

  • Track and report on performance metrics aligned with recruitment goals and program standards;
  • Analyze trends in prospective student engagement and recommend strategies for program improvement;
  • Design and implement surveys to assess the quality, effectiveness, and efficiency of outreach services, including tours and Info Center interactions;
  • Support the continuous training of outreach team members on CRM tools, referral resources, and college offerings.

  • Work with individuals of various cultures and backgrounds;
  • Proficiently use Microsoft Office.

Additional Requirements

  • Occasional evening or weekend work may be required for events.

Qualifications

MINIMUM QUALIFICATIONS:

  • One year college admissions experience; AND
  • One year of college outreach experience or community engagement.

Desirable Qualifications:

  • Strong organizational and project management skills;
  • Experience using CRM data for campaign development and reporting;
  • Experience with front-line visitor or customer service operations, such as an info center or welcome desk;
  • Experience working with a CRM system (e.g., Slate, Salesforce, Ellucian CRM) to manage data or communications
  • Ability to work both independently and collaboratively in a fast-paced, service-focused environment.
