We have an opportunity at our corporate offices in Chicago for a Program Specialist II (Hybrid) on our Physician Satisfaction team. This is a hybrid position reporting into our Chicago, IL office, requiring 3 days a week in the office.

As a Program Specialist II, you will be working with the Professional Satisfaction team. This role coordinates daily activities and operations of the Joy in Medicine Health System Recognition Program. Primary responsibilities include: customer/strategic partner service; direct communication with health system applicants; administration of online application portal; development of program communications; tracking program information. Accountable for ensuring stakeholders in this work (health care systems/practices, collaborators, advisory group members, etc.) view the AMA as strong partner through their experiences, communication and outcomes.

RESPONSIBILITIES:

Program Administration and Coordination

• Effectively track all health system collaborators and ensure timely follow-up on questions or inquiries related to the Recognition Program.
• Proactively identify stakeholder concerns and coordinate solutions to support a positive program experience.
• Work with manager to implement, coordinate, and oversee yearly application cycle, including the content development for and maintenance of online application portal.
• Identify, document, and recommend operational improvements to enhance efficiency, consistency, and applicant experience.
• Coordinate operational activities associated with applicant recognition, designation notifications, and public announcement.
• Ensure accurate maintenance of applicant, reviewer, and recognition records throughout the program lifecycle.
• Conduct reviews of applications and conduct appropriate follow-up with applicants when needed.
• Maintain and analyze program metrics, including applicant volume, participation trends, application completion rates, review timelines, and stakeholder engagement metrics.
• Develop regular reports and dashboards to support program decision-making and leadership updates.

Health System Engagement and Communications

• Serve as administrative point of service to health systems and other stakeholders connecting with AMA Joy in Medicine Recognition Program and engagement efforts. Resolve all issues in a timely and effective manner, and appropriately elevating issues to manager.
• Document all relevant information related to health system members and effectively maintain distribution and communication lists.

Event Coordination

• Coordinate all in-person and virtual events related to the Recognition Program, including the facilitation of virtual event technology.
• Draft event materials when required, which may include registration forms, feedback surveys, etc.
• Distribute communications, resources, and materials related to virtual or in-person events.

May include other responsibilities as assigned

REQUIREMENTS:

• Bachelor's degree required.
• 3+ years' experience in project coordination and management, planning and execution or equivalent skills.
• Experience in application administration, including the oversight of online application software, strongly desired.
• Experience working with physicians and healthcare organizations preferred. Proven ability to coordinate work involving cross-organizational teams and proven track record of successful project outcomes.
• Demonstrated ability to work independently on multiple projects simultaneously; ability to function effectively as a team member. Strong analytical and critical thinking skills required.
• Ability to effectively manage time, prioritize work, and multi-task across many assignments concurrently; detail and task-oriented, and the ability to function effectively under tight deadlines and high volume workloads.
• Ability to interface effectively with people of varying disciplines, background, and expertise and contribute to a positive working environment. Demonstrated ability to handle ambiguity and adapt effectively to changing circumstances.
• Strong written (prioritized) and verbal communication and presentation skills; with proven ability to build and manage relationships; must be agile in editing and responding effectively to critical feedback.
• Willingness to work in a fast-paced, collaborative environment.
• Proficient in use of Microsoft Office applications including, Word, Excel, Access, PowerPoint, SharePoint, and Outlook. Experience with Microsoft Project, web-based survey development tools, and Salesforce preferred.
• Some travel may be required.

This role is an exempt position, and the salary range for this position is $74,160-$98,318. This is the lowest to highest salary we believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be determined by a variety of factors including but not limited to business consideration and geographical location, as well as candidate qualifications, such as skills, education, and experience.
