JOB RESPONSIBILITIES
Provide essential administrative and logistical support for Agency services, grants, and/or agreements, collaborating closely with colleagues to achieve program objectives.
Plan, organize, and execute Agency events, ensuring seamless implementation and adherence to established guidelines.
Support Agency communications, including updates to and checks of the website; social media recommendations; and composing clear, professional emails, letters, and other written communications for internal and external audiences.
Facilitate budgeting, purchasing, receivables, and refund activities, strictly adhering to Agency financial procedures.
Prepare and draft agreements, ensuring accuracy and compliance.
Maintain and update Agency databases and spreadsheets, ensuring data accuracy, security, and accessibility.
Provide excellent service to internal and external customers via the phone, email, and in-person, supporting a welcoming and organized environment.
Manage and optimize appointment scheduling and calendar coordination for staff.
Organize and maintain both physical and digital documents through efficient filing and scanning processes.
Manage travel arrangements for staff, including booking accommodations and transportation.
Safeguard and maintain confidential records and files with the utmost discretion.
Actively participate in and contribute to special projects and initiatives, lending support and expertise as needed.
Facilitate the use of data to inform decisions, monitor the effectiveness of interventions, and promote a culture of continuous improvement.
Establish and maintain effective communication systems with colleagues, partners, districts, and administration to ensure seamless operations and successful service delivery.
Ensure compliance with all applicable federal, state, and local laws and regulations.
Adhere to ethical standards and professional conduct.
Stay informed about the Agency's products and services, identifying opportunities to connect members and clients with appropriate solutions.
Stay informed about current trends, research, and best practices in the profession.
Participate in team meetings and professional learning opportunities to enhance skills and knowledge.
Travel to multiple locations in the completion of work duties. Reliable personal transportation is necessary.
