Program Specialist for the Marquette University Physician Assistant Program responsible for coordinating admissions operations, including applicant processing, interview logistics, and communication with prospective students. Oversee budgetary and operational functions, supports financial tracking and purchasing processes, and assists with program planning and administration. Supervises administrative staff while providing comprehensive support to faculty and students through scheduling coordination, problem-solving, and day-to-day program operations.
Duties and Responsibilities
Coordinates and supports all aspects of the admissions cycle for the Marquette University Physician Assistant Program, including applicant communication, CASPA application review, interview day planning and execution, matriculation tracking, and prospective student outreach. Serves as the primary contact for admissions inquiries, information sessions, tours, and applicant communications while collaborating closely with the Director of Admissions, faculty, students, and alumni throughout the admissions process.
Manages program financial operations in collaboration with the CHS Business Manager and Department Chair, including monitoring operating budgets, processing invoices and reimbursements, tracking expenditures, coordinating speaker agreements, and supporting accreditation-related budget reporting. Maintains financial records and provides regular budget updates to program leadership.
Provides day-to-day supervision and operational oversight for administrative staff and student workers, including hiring, training, scheduling, workflow coordination, and ongoing support. Collaborates with program leadership regarding staffing concerns and ensures efficient office operations and project support across the department.
Provides comprehensive operational support to faculty, staff, and students through coordination of program initiatives, accreditation support, faculty promotion dossier management, student advising and compliance tracking, website and marketing collaboration, and general administrative support for departmental activities and events.
